Short answer
Pick a conversion date at the start of a GST quarter, enter opening balances from QuickBooks' trial balance the day before, bring over unpaid invoices and bills, then reconnect bank feeds and apps. Export the full QuickBooks history before cancelling, because IRAS expects records kept for at least 5 years.
Should you switch? A quick check first
Switching costs time, an accountant's hours and a period of double-checking. Do it for a clear reason, such as GST filing, bank feeds, a required app, or your accountant's preference, not because of a promotional discount. Our Xero vs QuickBooks comparison sets out the differences for Singapore businesses, and if price is the main reason, see Zoho Books vs Xero.
| Xero (Singapore) | QuickBooks Online (Singapore) | |
|---|---|---|
| Monthly price | S$39 / S$70 / S$95 incl. GST; S$42 / S$77 / S$99 from 1 Nov 2026 | $31 / $57 / $78.99 / $124 as listed on the SG pricing page |
| GST F5 | Files to IRAS from inside Xero | Prepares GST reports; you file in myTax |
| InvoiceNow | On IMDA's InvoiceNow-Ready list (12 Oct 2026) | Not on that list |
| Direct bank feeds | DBS, OCBC, UOB documented | Check your bank |

Choosing the cut-over date: start of a GST period
Xero calls the day you start using it the conversion date. Its help article on setting the conversion date recommends a month in which a tax period starts. In Singapore that means the first day of a GST accounting period, usually a quarter.
- GST-registered: switch on 1 January, 1 April, 1 July or 1 October if your quarters follow the calendar. Your last F5 from QuickBooks covers the quarter before; your first F5 from Xero covers the quarter after.
- Financial year start is even cleaner if it falls near, because the year-end accounts then come from one system.
- Avoid switching mid-quarter or in the weeks before a filing deadline. Splitting one GST return across two systems is where most errors come from.
If you are not GST-registered, any month start works. Pick one that gives you a quiet fortnight.
What moves from QuickBooks to Xero, and what doesn't
| Item | Moves? | How |
|---|---|---|
| Chart of accounts | Yes | Conversion app or CSV import; tidy it first |
| Customers and suppliers | Yes | Contacts import |
| Opening balances | Yes | Conversion balances from the trial balance |
| Unpaid invoices and bills | Yes | Entered individually, dated before the conversion date |
| Full transaction history | Optional | Conversion app, usually at extra cost; or keep it in QuickBooks exports |
| Fixed asset register | Yes, with work | Xero's fixed asset import |
| Bank rules, recurring templates, reminders | No | Rebuild in Xero |
| Attachments and receipts | Usually no | Export and archive; rely on Hubdoc or Xero files going forward |
| App connections (Stripe, Shopify, payroll) | No | Reconnect each app to Xero |
Xero's Singapore app store lists conversion apps, such as MMC Convert, that move history for a fee. For most small businesses, opening balances plus open invoices are enough, with the old history kept as exports.
Step by step: moving to Xero without losing anything
Close and reconcile the last period in QuickBooks
Reconcile every bank and card account to the day before the conversion date, file the last GST return from QuickBooks, and clear old suspense items.
Export everything from QuickBooks
Trial balance, general ledger, P&L, balance sheet, aged receivables and payables, GST reports, contacts and invoice PDFs. Store them in a dated folder the business controls.
Set up Xero: organisation, GST and chart of accounts
Set the GST registration details and accounting basis, then match the chart of accounts. Tidy duplicate accounts now rather than carrying them over.
Enter unpaid invoices and bills, then conversion balances
Add each open invoice and bill dated before the conversion date, then enter conversion balances from the trial balance dated the day before. Xero's receivables and payables must match the open items.
Connect bank feeds and payment apps
Set up direct feeds and reconnect Stripe, HitPay, Shopify, payroll and expense apps to Xero. Disconnect them from QuickBooks so transactions don't land in both.
Run both for one month, then check
Compare the first month's bank reconciliation, receivables and GST figures with expectations before relying on Xero for the F5.
For bank feeds, see our guide to Xero bank feeds with DBS, OCBC and UOB. For payment apps, connecting Shopify, Stripe and HitPay to Xero covers the payout and fee entries.
Records, GST and audit trail after the switch
The IRAS record-keeping rules apply to the books, not to the software. After switching you still need to produce the QuickBooks-era records if IRAS asks. Keep:
- Year-end and GST reports exported as PDF and spreadsheets
- The general ledger with transaction detail for every year in QuickBooks
- Invoices, bills and receipts, or the original source documents
- A short note of the conversion date and who entered the conversion balances
If you file GST, the first F5 from Xero is the one to check carefully. Our Xero GST F5 checklist lists what to review before submitting.
Going the other way: Xero to QuickBooks
The same rules apply in reverse: pick the start of a GST period, export Xero's reports and history, enter opening balances and open items in QuickBooks, and reconnect apps. Two extra points for Singapore:
- QuickBooks prepares GST reports but you file the F5 yourself in myTax, so plan time for that each quarter.
- If you are GST-registered and already in scope for the InvoiceNow requirement, check how you will submit invoice data before leaving a solution on IMDA's InvoiceNow-Ready list.
Do it yourself or get help?
Your accountant should own the conversion balances and the GST cut-over; that is accounting judgement. The technical side, which covers bank feeds, payment apps, invoice templates, reminders and making sure nothing posts twice, is where small businesses lose most time.
Migration checklist
Our Xero / QuickBooks Integration (S$390) sets up bank feeds, connects your payment and store apps, and builds invoice templates and reminders in the new system. Your accountant handles balances and tax.
Frequently asked questions
Yes, through a conversion app from Xero's app store, usually for a fee, or with CSV imports. Many small businesses bring over only opening balances and unpaid invoices and keep the older history as QuickBooks exports, which is cheaper and avoids importing old errors. Keep those exports for at least five years.
The first day of a GST accounting period, so each GST F5 return comes from a single system. If your financial year starts at the same time, even better. Avoid switching mid-quarter or close to a filing deadline, and leave a quiet month to run checks.
Intuit's help pages for other regions say cancelled QuickBooks Online accounts keep read-only access for one year, after which data is deleted. IRAS expects records to be kept for at least five years, so export your full ledger, reports and documents before cancelling, and confirm the terms that apply to your Singapore subscription.
No. Bank rules, recurring invoice templates, payment reminders and app connections must be rebuilt in Xero. List them in QuickBooks before you switch so nothing is missed, and disconnect apps from QuickBooks once they are connected to Xero to avoid duplicate transactions.
Xero is on IMDA's InvoiceNow-Ready Solution Provider list dated 12 October 2026, and QuickBooks was not. If you are GST-registered, check your InvoiceNow requirement date on the IRAS page and make sure your chosen software can transmit invoice data before that date.
