Setting Up QuickBooks Online in Singapore: First Steps

QuickBooks Online works well for Singapore small businesses once the first-week settings are right: company details, GST, bank feeds, invoice templates and who has access. Getting these wrong early means messy books that your accountant has to untangle at year end. This guide walks through the setup in the order that avoids rework, with QuickBooks' Singapore plan prices and user limits as of October 2026, the InvoiceNow setup now built into the product, and a checklist for handing access to your accountant.

  • GST is set up under Tax: choose the start of tax period, filing frequency and reporting method.

Short answer

Pick a plan by number of users (Simple Start 1, Essentials 3, Plus 5, Advanced 25; your accountant is free on top). Then set company details and financial year, set up GST in the Tax centre, connect bank feeds, brand your invoice template, invite your accountant, and set up InvoiceNow if you need it.

Choose the right QuickBooks plan

The main difference between QuickBooks Online plans for most small businesses is the number of users, then features like inventory and projects. These are the prices on the QuickBooks Singapore pricing page as of October 2026. The page also shows a 90% discount for the first six months.

QuickBooks says you can switch plans or cancel at any time with no cancellation fee, and phone support is included. If you are still choosing between QuickBooks and Xero, our Xero vs QuickBooks comparison for Singapore covers bank feeds, pricing and accountant preferences side by side.

Setup order that avoids rework

Do these in order. Entering transactions before GST and bank settings are right is the most common reason books need fixing later.

  1. Company details

Enter the legal name as registered with ACRA, UEN, address, contact email and logo. These appear on invoices.

  2. Financial year and accounting method

Set the first month of your financial year to match your company's year end. Ask your accountant whether to use accrual or cash.

  3. Chart of accounts

Start with the default and let your accountant adjust it, or import their chart from Excel. QuickBooks supports importing customers, suppliers, items and accounts from spreadsheets.

  4. GST (if registered)

Set up GST in the Tax centre before creating any invoices. See the next section.

  5. Bank and card feeds

Connect business bank accounts and cards so transactions flow in automatically.

  6. Products, services and customers

Add or import what you sell with the right GST category, and your customer list with billing details.

  7. Invoice template

Customise the template with logo, colours, payment terms and bank or PayNow details.

  8. Users and accountant

Invite staff with limited roles and your accountant as an accountant user.

QuickBooks also offers a free onboarding call after you subscribe, which it recommends booking in your first 30 days.

Setting up GST in QuickBooks Online

QuickBooks' Singapore GST help article describes the steps. In short: go to All apps, then Tax, then Overview, and select Set up GST.

GST setup checklist

Once set up, QuickBooks tracks what you owe and when returns are due. You still file the GST return with IRAS yourself or through your accountant; QuickBooks prepares the figures and lets you record the payment afterwards.

Bank feeds, invoice templates and payments

Bank feeds save the most time. In QuickBooks go to Banking, then Connect account, and search for your bank. QuickBooks documents a direct bank feed for DBS IDEAL; for other banks and account types, check the list in Connect account, because availability varies by bank and by business banking product. If your bank is not supported, you can import statements as files.

For invoices, set up one clean template before sending anything: logo, legal name and UEN, GST number if registered, payment terms, and how to pay (bank transfer details or PayNow UEN). Consistent invoices also make InvoiceNow easier later.

InvoiceNow and GST InvoiceNow in QuickBooks

QuickBooks' help article How to set up InvoiceNow in QuickBooks Online - Singapore describes two steps. First, register for InvoiceNow under Settings, Compliance centre, E-invoicing, which sends invoices to buyers over the Peppol network. Second, enable GST InvoiceNow, which reports invoice data to IRAS.

You needWhy
Primary admin or company admin rights in QuickBooksOnly admins can set it up
Correct UEN in ACRA recordsUsed as your identifier on the Peppol network
Corppass with Admin or Authorised Officer rightsFor Singpass verification
GST number, if registeredFor GST InvoiceNow

QuickBooks notes that GST InvoiceNow is mandatory once your business falls within its phase of IRAS's requirement, and that QuickBooks cannot tell you when that is. Also check status: IMDA's InvoiceNow-ready solution provider list, dated 12 October 2026, did not include QuickBooks, and QuickBooks' own e-invoicing page described its integration as pending full IMDA accreditation. If InvoiceNow is a hard requirement for you this year, confirm the current status first.

Users, roles and accountant access

QuickBooks' help says invited accountant users do not count toward your plan's user limit. Invite your accountant this way rather than sharing your own login.

Good setup

  • Each person has their own login
  • Staff get only the roles they need, for example invoicing only
  • Accountant invited as an accountant user
  • MFA turned on for the primary admin

Red flags

  • Sharing the owner's login with staff or the accountant
  • Everyone as company admin
  • Former staff still active
  • No one but the bookkeeper knows the admin login

If you are moving from Xero, our QuickBooks and Xero migration guide explains what transfers cleanly and what does not, in either direction.

Do it yourself or get help?

A sole proprietor with one bank account can set up QuickBooks in an afternoon using the steps above and the free onboarding call. Several bank accounts, GST, inventory, staff roles, InvoiceNow and opening balances from an old system are where mistakes creep in.

Our Accounting Software Setup (S$490) sets up Xero, QuickBooks Online or Zoho Books in your name: bank feeds, branded invoices and quotes, user access and your accountant invited. IT Sorted is a Singapore-based team of developers with over 10 years of experience. You pay upfront, send the details in writing through the site chat or contact form, and track progress on your order page. This guide is not tax advice; confirm GST settings with your accountant.

Frequently asked questions

As of October 2026, QuickBooks' Singapore pricing page lists Simple Start at $31 a month for one user, Essentials at $57 for three users, Plus at $78.99 for five users and Advanced at $124 for 25 users, with a 90% discount for the first six months shown as a promotion. Check the page at checkout for current prices and GST.

Yes. QuickBooks' Singapore help says accountant users invited through the accountant invite do not count toward your user limit. Your accountant can then use QuickBooks Online Accountant tools to review your books, make corrections and prepare for tax filing. Do not share your own login with them.

Yes. You set up GST under Tax by choosing the start of your tax period, filing frequency and reporting method, then assign GST categories to products and services. QuickBooks calculates GST on transactions, tracks what you owe and when returns are due, and lets you record the payment. You still file the return with IRAS.

QuickBooks has an InvoiceNow setup in its Compliance centre, using your UEN and Singpass verification. However, IMDA's InvoiceNow-ready solution provider list dated 12 October 2026 did not include QuickBooks, and QuickBooks described its integration as pending full IMDA accreditation. If you must use InvoiceNow now, confirm its current status with QuickBooks and IMDA.

QuickBooks documents a direct bank feed for DBS IDEAL, and users report connecting other local banks through the Connect account option. Availability depends on the bank and the business banking product, so search for your bank under Banking, then Connect account. If it is not listed, you can import bank statement files instead.
