Short answer
Connect the instant form to your CRM through Meta's CRM integrations, a connector like Zapier or Make, or a webhook for custom systems, so each lead arrives in seconds. Add a WhatsApp or email alert, a consent checkbox, and export leads regularly: Meta keeps them 90 days.
Why leads go cold in Meta Business Suite
By default, instant form leads land in Leads Center in Meta Business Suite and can be downloaded as CSV. Meta's download guide adds an important warning: you have 90 days from the time a lead submits the form to download their information, after which the lead expires.
So a manual process has two problems: slow follow-up, and lost leads if nobody downloads them in time. An integration fixes both, because each lead is copied to a system you own as soon as it arrives.
Three ways to send Meta leads to your CRM
Meta's lead ads developer guide lists the options: CRM partners that support lead ads, or a custom integration using webhooks and the Graph API. In practice, small businesses pick one of these:
Native CRM integration
Easiest- Set up from Meta's list of supported CRMs
- No extra subscription if your CRM is listed
- Field mapping is limited to what the CRM supports
Best for: CRMs on Meta's integration list, such as ActiveCampaign or AWeber.
Zapier or Make
Zapier: free 100 tasks/mo; Professional from US$19.99/mo yearly
- Works with most CRMs, sheets and email tools
- Add steps: WhatsApp or email alert, tag, assign owner
- Each step uses tasks; check plan limits
Best for: Small teams that want alerts and routing without code.
Webhook to your own system
- Real-time delivery to your server
- Full control over data and storage
- Needs a Meta app with leads_retrieval permission, App Review and business verification
Best for: Custom CRMs or businesses with a developer.
Meta's list of CRM integrations for lead ads is searchable; check whether your CRM appears before paying for a connector. Our guide to the best CRM for small businesses in Singapore compares common choices.
Alert the owner on WhatsApp the moment a lead arrives
Speed matters more than the CRM. A lead called within minutes, while they still remember the ad, is far easier to convert than one called the next day. Set up an instant alert alongside the CRM sync.
Trigger on every new lead
In Zapier or Make, choose the Facebook Lead Ads trigger for the right Page and form, or use your CRM's new-contact trigger if leads already sync there.
Send a message to the person who calls
Email or Slack is simplest. For WhatsApp, use the WhatsApp Business Platform: messages your business starts must use an approved message template.
Include a click-to-call link and the answers
Name, phone number as a tappable link, the service they chose and any qualifying answers, so the salesperson can call without opening another app.
Assign an owner and a deadline
Rotate leads between salespeople or route by service. Add a reminder if the lead is still uncontacted after an hour.
Log the outcome back in the CRM
Contacted, booked, not interested. Meta can use CRM outcomes for quality lead optimisation through the Conversions API.

PDPA consent text in the instant form
Meta's custom disclaimer guide says you can add a privacy policy link and custom disclaimers to an instant form, including checkboxes for consent; when you add a disclaimer, people must agree before submitting. Use this to collect consent properly under the PDPA. This is not legal advice.
Instant form consent checklist

Testing the integration and common failures
Always submit a test lead before the ads go live, and again after any change to the form or connector.
| Problem | Likely cause | Fix |
|---|---|---|
| No leads reach the CRM | Connector lost access to the Page or form | Reconnect with a Page admin account; check business portfolio permissions |
| Some fields are blank | Form questions changed after mapping | Remap fields whenever you edit or duplicate a form |
| Custom webhook gets no lead data | Meta app still in Development mode | Meta says apps in Development mode cannot retrieve leads, except test leads from app roles |
| Duplicates in the CRM | Two integrations on the same form | Keep one integration per form |
| Alerts stop mid-month | Connector task limit reached | Check plan usage or reduce steps per lead |
Do it yourself or get help?
If your CRM is on Meta's integration list, connecting it and adding an email alert is an hour's work. Help is worth it when you want WhatsApp alerts, lead routing between staff, consent records stored properly, or CRM outcomes sent back to Meta to improve lead quality.
IT Sorted is a Singapore-based team of developers with over 10 years of experience. Meta Ads Setup (Facebook & Instagram) (S$590) sets up your lead campaign and instant form with consent wording, and Workflow Automation (S$390) connects each lead to your CRM, alerts and follow-up. Ad spend is paid to Meta separately.
Frequently asked questions
Meta says you have 90 days from the time a lead submits their form to download their information, and leads expire after that. If you do not use a CRM integration, download leads regularly from Ads Manager, Meta Business Suite or Leads Center and store them in your own system.
Yes. Meta lists CRM systems with built-in lead ads integrations in its Business Help Center. If yours is not listed, a connector such as Zapier or Make can pass each lead to almost any CRM, and businesses with a developer can use Meta's webhooks and Graph API to receive leads in real time.
Use a connector or your CRM to trigger on each new lead and send a message to the salesperson. Email or Slack alerts are simplest. For WhatsApp, the WhatsApp Business Platform requires messages your business starts to use an approved template, which a connector or developer can set up.
Meta's form setup lets you add your privacy policy link and custom disclaimers with consent checkboxes. Under the PDPA you should tell people how you will use their details and get consent for marketing, so add your privacy policy link, a clear purpose statement and a separate, optional marketing checkbox.
Zapier's free plan includes 100 tasks a month and two-step Zaps, as of October 2026. Multi-step workflows, such as sending a lead to a CRM and also alerting on WhatsApp, need a paid plan; Professional starts at US$19.99 a month billed yearly or US$29.99 monthly. Check whether the apps you need count as premium.
