Short answer
The agent reads free slots from your booking system, offers them in chat, confirms the booking and later sends a reminder template. Meta allows automation in the 24-hour window if customers can reach a human; from 1 October 2026 service messages beyond 1,000 a month per number are charged.
How a WhatsApp booking agent fits together
A booking agent has four parts. Keeping them separate is what makes it reliable: the AI talks, but the booking system decides what is actually free.
| Part | What it does | Examples |
|---|---|---|
| WhatsApp Business Platform | Receives and sends messages through the official API | Meta Cloud API via a provider |
| Booking system or calendar | Holds services, staff, opening hours and real availability | SimplyBook.me, Calendly, Microsoft Bookings, Google Calendar |
| AI model and instructions | Understands requests, asks questions, picks the right action | An LLM with your services, policies and tone |
| Automation layer | Connects the three and logs every booking | Make, Zapier, n8n or custom code |
Microsoft Bookings, for example, is included in Microsoft 365 Business Basic, Standard and Premium and stores appointments in Exchange Online, according to Microsoft's Bookings overview. Any booking tool with an API can play the same role.
The booking conversation, step by step
A well-built agent follows a fixed flow, even though the conversation feels natural. This is the flow we recommend scripting.
Identify the service and the customer
Ask what they want (for example "60-minute facial") and whether they have booked before. Match returning customers by phone number or business-scoped user ID.
Read live availability
Query the booking system for open slots for that service and staff member. Never let the AI guess slots from memory.
Offer two or three options
"Saturday 10am, 11.30am or 2pm?" Short lists convert better than "what time suits you?"
Hold the slot, then confirm
Reserve the chosen slot for a few minutes while you confirm name, service and time back to the customer, then write the booking.
Take a deposit if your policy needs one
Send a payment link. Mark the booking confirmed only when the payment succeeds.
Send confirmation and add to the calendar
Reply with the booking details and how to reschedule. Staff see it in their calendar immediately.
Remind before the appointment
Send an approved utility template, for example 24 hours before, with a reschedule or cancel option.
Deposits, rescheduling and no-show rules
Most disputes come from unclear rules, not from the technology. Decide them before you build, and make the agent state them every time.
- Deposits: send a payment link (Stripe, HitPay or your booking tool's checkout). Meta's Business Messaging Policy says not to share or ask people to share full payment card numbers in chat.
- Rescheduling window: for example, free changes up to 24 hours before; after that, the deposit is kept. The agent should check the window before moving a booking.
- Cancellations: let the agent cancel and release the slot, then confirm in writing.
- No-shows: record them in the booking system, not just in the chat, so the next booking can require a deposit.
- Edge cases: group bookings, bookings for someone else and medical or safety questions go to a human.

WhatsApp rules for AI booking agents in 2026
Meta allows businesses to automate replies, with conditions. These come from the WhatsApp Business Messaging Policy (last updated 23 September 2026) and Meta's terms for the WhatsApp Business Platform.
| Rule | What it means for a booking agent |
|---|---|
| 24-hour customer service window | The agent can reply freely for 24 hours after each customer message; the window resets with every message |
| Templates outside the window | Reminders and follow-ups after 24 hours need approved message templates |
| Escalation path required | Automation must have prompt, clear escalation, such as in-chat transfer to a human, phone, email or a support form |
| Business-initiated messages | You can only start a conversation with an approved template, and need the customer's opt-in |
| General-purpose AI assistants | Meta's terms bar AI providers from offering general-purpose AI assistants as the main product on the platform; a business's own booking agent is not that |

What it costs to run
Costs come from three places: WhatsApp messages, the AI model and the booking tool. Meta's WhatsApp pricing page sets the message side.
- Service messages (your replies inside the 24-hour window): from 1 October 2026, Meta gives each business phone number 1,000 free service messages a month and charges from the 1,001st. Before that date they were free.
- Utility templates (reminders, confirmations): charged per message when sent outside an open window; utility templates sent within an open customer service window have been free since 1 July 2025.
- Free entry point window: when a customer messages you from a click-to-WhatsApp ad, Meta does not charge for marketing, utility, authentication or service messages while the window is open.
- AI model usage: usually a few dollars a month for a small business, billed by the AI provider.
- Booking tool and provider fees: the booking tool's subscription and your WhatsApp provider's monthly fee.

When a human must take over
Meta requires an escalation path, and customers expect one. Build the handover into the flow rather than as an afterthought.
Handover triggers
Do it yourself or get help?
If you only need customers to pick a slot, a booking page link sent in WhatsApp is simpler and costs less than an AI agent. An agent pays off when you get many repetitive booking chats, after-hours enquiries or several staff and services to juggle.
IT Sorted is a Singapore-based team of developers with over 10 years of experience. Our Online Booking System (S$390) sets up a booking tool in your name with services, staff, deposits, reminders and calendar sync. Our AI Website Assistant (S$790) answers questions from your own FAQ and policies and hands over to WhatsApp or email. A full WhatsApp booking agent linked to both is scoped and quoted in writing. WhatsApp, AI and booking tool fees are paid by you.
Frequently asked questions
Yes, through the official WhatsApp Business Platform. Meta's Business Messaging Policy allows automation in the 24-hour customer service window as long as customers have a clear way to reach a human. Meta's terms bar general-purpose AI assistants as a main product, so keep the agent focused on your bookings and business questions.
Yes, using approved message templates. Reminders are usually sent more than 24 hours after the customer's last message, outside the free-form window, so they must use a template approved by Meta, typically in the utility category. Include the booking details and an option to reschedule or cancel.
Replies inside the 24-hour window are service messages. From 1 October 2026 Meta gives each business phone number 1,000 free service messages a month and charges after that. Reminder templates sent outside the window are charged per message at Meta's published rates. Check Meta's pricing page for current Singapore rates.
Send a payment link from Stripe, HitPay or your booking tool and confirm the booking only when payment succeeds. Meta's policy says businesses should not ask people to share full payment card numbers in chat. A payment link keeps card details off WhatsApp and gives you a clear record for refunds and no-shows.
Any booking tool with an API or automation connector can work, such as Microsoft Bookings, Calendly, SimplyBook.me or a Google Calendar-based setup. The booking system should stay the source of truth for availability, with the AI reading open slots and writing confirmed bookings rather than tracking slots itself.
