Short answer
Automate three things: an instant acknowledgement to the customer with a useful next step, an instant alert to the right staff member on WhatsApp or email, and a reminder if no one has replied within your target time. Add office-hours logic so night enquiries get an honest "we'll reply at 9am" message.
Why reply speed matters, and how to measure yours
We are not going to quote a statistic about how much faster replies increase sales; the commonly repeated figures are old and hard to trace. The logic is simpler: people shopping for a service contact several providers, and the first useful reply usually sets the terms of the conversation. Slow replies also lead to repeated messages and calls, which cost your team time.
Start by measuring. You cannot improve a number you do not know.
Take the last 30 enquiries
Use your inbox, form submissions and WhatsApp chats.
Note when each arrived and when a person replied
Use timestamps, not memory. Count automatic replies separately.
Split by working hours and after hours
After-hours enquiries usually wait the longest.
Work out the median wait
Sort the waits and pick the middle one. It is fairer than the average, which one weekend enquiry can distort.
Set a realistic target
For example: acknowledge instantly, a person replies within 15 minutes during office hours, and by 10am for overnight enquiries.
The four parts of a fast-reply system
You do not need a CRM to start. These four parts can be built with your existing form, email and WhatsApp.
| Part | What it does | Example |
|---|---|---|
| Instant acknowledgement | Confirms receipt and gives a useful next step | "Thanks, we got your aircon servicing request. Here are our rates and earliest slots." |
| Owner or staff alert | Tells the right person immediately | WhatsApp message to the sales phone with name, service and phone number |
| Routing | Sends the alert to the right person | Renovation enquiries to the project lead, repairs to the service desk |
| Follow-up reminder | Escalates if nobody replied in time | If not marked as replied in 15 minutes, alert the owner |
The acknowledgement buys time, but it does not replace a human reply. Customers can tell the difference between "we received your message" and someone answering their question. Our guide to automating lead follow-up from enquiry forms covers the form side in more detail.
Instant replies that actually help
A good automatic reply does more than say thank you. It answers the first question the customer would ask next, so they are less likely to keep shopping around while they wait.
Auto-reply checklist
Send it by email for form enquiries. If customers message you on WhatsApp first, the WhatsApp Business app's away and greeting messages, or a WhatsApp API setup, can do the same job inside the chat.
Alerting staff on WhatsApp, and office-hours logic
Email alerts get buried. Most owners and field staff in Singapore see WhatsApp first. Through the official WhatsApp Cloud API, your form or automation tool can send a template message to a staff number whenever a lead arrives. Meta's pricing page charges per delivered message; utility messages to Singapore numbers are about S$0.0205 each at the October 2026 SGD list rate.
Office-hours logic decides what happens at night and on weekends. During working hours, alert staff and promise a quick reply. After hours, send the customer an honest message with the time you will reply, and queue the alert for the morning, unless the enquiry is urgent (for example a burst pipe for a plumber), in which case alert the on-call person.
Tools and what they cost
Most small businesses can build this with tools they already have plus one automation service.
| Tool | Role | Cost (Oct 2026) |
|---|---|---|
| Website form (WordPress, Wix, Webflow, Google Forms) | Captures the enquiry | Usually included in your plan |
| Zapier Free | Two-step automations, 100 tasks a month | US$0 |
| Zapier Professional | Multi-step automations, webhooks, premium apps | From US$19.99/month |
| WhatsApp Cloud API via a provider | Staff alerts and customer messages | Meta per-message rates plus provider fee |
| Shared inbox or simple CRM | Marks enquiries as replied and tracks time | Free tiers available; paid plans vary |
A flow with routing, office hours and a reminder needs several steps, so it will not fit the two-step limit of the free plan on Zapier's pricing page. See our workflow automation cost guide for how Zapier, Make and custom builds compare over a year.
Keep it compliant and human
Fast replies should not cross into spam. Replying to someone who asked you a question is fine. Adding them to a marketing list is a separate step that needs their consent.
Good practice
- Reply to the enquiry on the channel the customer used
- Tell them who will contact them and when
- Collect only the details you need to answer
- Say in your privacy notice how enquiry data is used
Avoid
- Adding enquiries to a promotions list without consent
- Marketing calls or messages to numbers on the DNC Registry
- Auto-replies that pretend to be a person
- Chasing the customer repeatedly after they said no
Do it yourself or get help?
A simple email auto-reply and an email alert to yourself can be set up in an hour with most form tools. Routing, office-hours logic, WhatsApp alerts and reminders are where a properly built workflow saves time every day.
Our WhatsApp Notifications (S$590) sets up an official WhatsApp API number with templates for lead alerts and customer replies. Workflow Automation (S$390 per workflow) builds the routing, office-hours and reminder logic around your existing form and tools. IT Sorted is a Singapore-based team of developers with over 10 years of experience. You pay upfront, send your brief in writing through the site chat or contact form, and track progress on your order page.
Frequently asked questions
There is no official standard, so set a target you can keep. A practical goal is an instant automatic acknowledgement, a personal reply within 15 to 30 minutes during office hours, and by mid-morning for overnight enquiries. Measure your current median response time first, then improve it step by step rather than promising something you cannot deliver.
No. An automatic reply confirms receipt and sets expectations, which reduces repeat messages and keeps the customer from feeling ignored. But customers still want a person to answer their actual question. Use the auto-reply to buy a short amount of time and give one useful piece of information, then make sure a human follows up quickly.
Some tools can send alerts through email or app notifications instead, and many owners simply forward form emails to their phone. For reliable WhatsApp alerts sent automatically from a business number, the official WhatsApp Business Platform is the supported route. Unofficial tools that automate a personal WhatsApp account risk getting the number banned.
For a small business, software costs are modest. Zapier's paid Professional plan starts from US$19.99 a month as of October 2026, and WhatsApp utility alerts cost about S$0.0205 each for Singapore numbers plus a provider fee. Building and testing the workflow is usually the bigger one-off cost.
Send an honest automatic reply that states when someone will respond, such as by 10am the next working day, and include any useful information like prices or a booking link. Queue the staff alert for the morning. If your business handles emergencies, route urgent enquiries, identified by a form question, to an on-call person immediately.
