Short answer
Pick Zapier if non-technical staff will build and maintain simple automations and volumes are modest. Pick n8n Cloud if workflows have many steps or run often, since it charges per workflow run, not per action. Self-host n8n only if someone already patches and backs up servers.
Zapier vs n8n at a glance
Prices below are from Zapier's pricing page (in USD) and n8n's pricing page (shown in euros from Singapore), approximate and as of October 2026, excluding tax.
Zapier
Easiest to useFree (100 tasks); Professional from US$19.99/mo yearly
- Hosted only; nothing to maintain
- Charges per successful action (task)
- Free plan limited to two-step Zaps
- Built-in AI fields, Copilot and AI steps
Best for: Owners and office staff building simple, low-volume automations.
n8n
Most controlStarter 20 euros/mo yearly; Community Edition free to self-host
- Cloud or self-hosted
- Charges per workflow run, regardless of steps
- Code, branching and AI agent nodes built in
- Steeper learning curve
Best for: Multi-step or high-volume workflows, with someone technical to maintain them.

Pricing: tasks vs executions
The two products count usage differently, and that difference decides the cost.
- Zapier counts a task each time an action step runs successfully. Its help centre says triggers, filters and paths don't count. A workflow with one trigger and four actions uses four tasks per run.
- n8n counts an execution each time a whole workflow runs, however many steps it has. Its pricing page says all plans include unlimited users, workflows and integrations, and you pay only when a workflow runs from start to finish.
| Plan | Included | Price (billed yearly) |
|---|---|---|
| Zapier Free | 100 tasks/month, two-step Zaps | US$0 |
| Zapier Professional | From 750 tasks/month, multi-step Zaps, webhooks | From US$19.99/mo |
| Zapier Team | 25 users, shared Zaps, SSO | From US$69/mo |
| n8n Starter (cloud) | 2,500 executions/month | 20 euros/mo |
| n8n Pro (cloud) | 10,000 executions/month | 50 euros/mo |
| n8n Community Edition | Self-hosted, you run the server | Free licence, plus server costs |
Ease of use and maintenance
Cost is only half the comparison. Someone has to build each workflow, fix it when an app changes a field, and understand it after the builder leaves.
Zapier suits you if
- Office staff will build and edit workflows themselves
- Workflows are linear: when this happens, do these steps
- You want vendor support and nothing to maintain
- An app you rely on has a ready-made Zapier integration
n8n suits you if
- Workflows have branches, loops, data transformations or code
- Volumes are high enough that per-action pricing hurts
- You want to build AI agents that call tools step by step
- A developer or technical person will own the automations
Both products now include AI features. Zapier's plans list AI fields and Copilot, and its pricing page says AI steps and code follow the same task-based pricing. n8n's cloud plans include agent, MCP and AI nodes plus a monthly allowance of AI Assistant credits.
What self-hosting n8n really involves
n8n's Community Edition is free to run on your own server. Its licence allows use for your own internal business purposes. n8n's guide to choosing how to use n8n recommends the cloud version if you don't have technical expertise or don't want to manage infrastructure.
What you take on when you self-host
Which should a small business choose?
A simple rule of thumb from the pricing and effort above:
| Your situation | Usually the better fit |
|---|---|
| A few simple automations, built by office staff | Zapier (Free or Professional) |
| Many multi-step workflows or high run counts | n8n Cloud |
| Data must stay on your own infrastructure | n8n self-hosted, with someone to maintain it |
| Complex AI agents calling several tools | n8n Cloud, or custom code |
| No one technical in the business | Zapier, or n8n Cloud set up and documented for you |
Whichever you choose, keep a short written note of what each workflow does, which accounts it uses and who to call when it breaks.
Do it yourself or get help?
Simple Zapier workflows are a reasonable DIY project for most owners. Multi-step n8n workflows and anything self-hosted benefit from someone who has built them before, mainly for error handling and security.
Our Workflow Automation (S$390 per workflow) builds one workflow of up to five steps on Make, Zapier or Google Apps Script in your own account, with error alerts to your email and documentation of how it works. For n8n-based or larger systems, tell us your workflows and volumes and we'll recommend the platform before quoting.
Frequently asked questions
For multi-step or high-volume workflows, usually yes, because n8n counts each full workflow run as one execution while Zapier counts each successful action as a task. A four-action workflow run 500 times uses 2,000 Zapier tasks but 500 n8n executions. For a few simple, low-volume automations the difference is small, and Zapier's free plan may be enough.
The self-hosted Community Edition is free to use for your own internal business purposes under n8n's licence, but you pay for the server and take on updates, backups and security. n8n's hosted cloud plans start at 20 euros a month billed yearly for 2,500 executions, as of October 2026.
Generally yes. Zapier is designed for non-technical users and linear workflows. n8n offers more control, with branching, loops, code and AI agent nodes, but expects more technical comfort. n8n's own documentation recommends its cloud version for people without technical expertise who don't want to manage infrastructure.
Only if someone already maintains servers and can apply urgent security updates quickly. A self-hosted n8n holds credentials for every connected app, and CSA issued several alerts about n8n vulnerabilities in 2026. For most small businesses, n8n Cloud or Zapier is safer once the time for patching and backups is counted.
Yes. Zapier's plans include AI fields and Copilot, and its pricing page says AI steps follow the same task-based pricing. n8n's cloud plans include AI agent and MCP nodes and a monthly allowance of Assistant credits. In both cases you may also pay the AI provider separately if you connect your own API key.
