Short answer
A good job sheet app handles job assignment, photos, parts used, a customer signature, an automatic PDF report and an invoice pushed to Xero, and works offline. Try an off-the-shelf field service app first; use AppSheet for simple needs or a custom app if your process doesn't fit.
What a job sheet app should do
Start from the paper form you use today. Every field on it should have a place in the app, and the office should never have to retype it.
| Feature | Why it matters | Must-have? |
|---|---|---|
| Job assignment and schedule | Office assigns jobs; technician sees today's list with address and contact | Yes |
| Customer and site details | Unit number, access notes, equipment serial numbers, past visits | Yes |
| Photos before and after | Proof of work and of existing damage; fewer disputes | Yes |
| Checklist per job type | Same steps every time, for example for aircon chemical wash | Yes |
| Parts and materials used | Correct billing and stock | Yes |
| Customer signature on the phone | Confirms the work was done and accepted | Yes |
| Automatic PDF service report | Emailed or sent by WhatsApp when the job closes | Yes |
| Invoice to Xero or QuickBooks | No retyping; faster payment | Yes |
| Works offline, syncs later | Basements, lifts and plant rooms have poor signal | Yes |
| GPS check-in, time tracking | Useful for contracts with response-time terms | Nice to have |
| Customer booking and reminders | Fewer missed appointments | Nice to have |

Off-the-shelf, no-code or custom: the options
There are three realistic routes for a small team.
Off-the-shelf field service app

- Ready in days; jobs, photos, signatures and invoices built in
- Xero integrations listed in the Xero App Store
- You adapt your process to the app
- Monthly fee grows with jobs or users
Best for: Standard service visits with a quote, job and invoice.
No-code app (AppSheet)
Cheap if you have WorkspaceIncluded with most Workspace plans
- Built on your Google Sheets or AppSheet database
- Forms, photos, signatures, offline use and PDFs
- Someone in your team must build and maintain it
- Xero connection needs extra automation
Best for: Simple job sheets where someone enjoys building tools.
Custom business app
When nothing fitsQuoted project
- Built around your exact job types and contracts
- Connects jobs, stock, quotes and invoices in one database
- You own the code and data
- Higher upfront cost and needs ongoing care
Best for: Maintenance contracts, multi-visit jobs or several service lines.
Off-the-shelf apps and their prices
The Xero App Store's invoicing and jobs category for Singapore lists field service apps that connect to Xero, including ServiceM8, Fergus and Simpro. Prices vary by jobs per month or users.
- ServiceM8 Free1 user, 30 new jobs a monthUS$0/mo

Approximate, as of October 2026, from ServiceM8's pricing page (shown to us in US dollars) and AppSheet's pricing page. Check each vendor's page for Singapore pricing and SMS charges.
ServiceM8's pricing page lists features such as forms and certificates, job costing and recurring jobs across plans. Before committing, run a two-week trial with one technician on real jobs, including at least one job in a basement or plant room to test offline mode.
Building a simple job sheet in AppSheet
Google's AppSheet admin article says AppSheet Core licences are included at no cost with Google Workspace Business Starter, Business Standard and Business Plus, among other editions. AppSheet's pricing page lists capturing forms, checklists, locations, signatures and photos, offline use with background sync, PDF document generation and automated email, SMS and push notifications as platform features.
Set up the data in a sheet or AppSheet database
Tables for Customers, Sites, Jobs, Job lines (parts and labour) and Technicians.
Generate the app and set roles
Office staff see all jobs; technicians see only theirs.
Add the job form
Checklist, before and after photos, parts used, notes and a signature field.
Automate the PDF report
When the job status changes to Done, generate a PDF from a template and email it to the customer.
Connect invoicing
Send completed jobs to Xero through an automation tool or Xero's API, or export them daily for the office.
When a custom app makes sense
Off-the-shelf tools work well for a quote, a visit and an invoice. They get awkward when your work has more structure than that.
- Maintenance contracts with scheduled visits, SLA response times and contract billing rather than per-job invoices.
- Several service lines (for example aircon, electrical and cleaning) with different checklists, reports and pricing.
- Multi-visit jobs such as renovation or installations with stages, progress claims and sign-offs.
- Customer portals where building managers see reports and book visits for many sites.
- Stock in vans that must be tracked per technician and reordered.
Choosing: a checklist

Job sheet app checklist
Do it yourself or get help?
Most small field service teams should try an off-the-shelf app first: the trial costs nothing, and many fit standard visits well. AppSheet is a good DIY route if you already use Google Workspace and someone likes building tools.
If your work runs on contracts, multiple service lines or spreadsheets that no app replaces, our Custom Business App (from S$4,900) starts with a free written scope and fixed quote and connects jobs, quotes, stock and invoices to Xero, QuickBooks or Zoho Books. It is browser-based and works on phones and tablets. If you mainly need customers to book visits online with reminders, the Online Booking System (S$390) sets up a booking tool with deposits, reminders and calendar sync.
Frequently asked questions
It is a phone or tablet app that replaces paper job sheets for technicians. Staff receive jobs with customer and site details, follow a checklist, take photos, record parts used and capture the customer's signature. When the job closes, the app produces a PDF service report and can create an invoice in accounting software such as Xero.
Yes, for simple needs. AppSheet lists forms, checklists, photos, signatures, offline use and PDF generation as features, and Google says AppSheet Core is included at no extra cost with Workspace Business Starter, Standard and Plus. Someone in your team needs to build and maintain it, and connecting to Xero needs extra automation.
The Xero App Store's invoicing and jobs category for Singapore lists several field service apps, including ServiceM8, Fergus and Simpro. Check each listing for what syncs (contacts, invoices, payments, items) and whether it suits your trade. Run a trial with real jobs before moving your whole team.
As of October 2026, ServiceM8's pricing page showed a free plan for one user and 30 jobs a month, and paid plans from US$29 a month for 50 jobs and US$79 for 150 jobs, with unlimited users. AppSheet Core is US$10 per user a month standalone or included with most Google Workspace business plans.
When your work doesn't fit a quote, visit and invoice pattern: maintenance contracts with scheduled visits and SLAs, several service lines with different reports, multi-stage jobs with progress claims, customer portals for building managers, or van stock tracking. In those cases off-the-shelf tools often push part of the process back into spreadsheets.
