Short answer
If your SOPs live in Notion or you are starting a wiki, Notion Business (US$20 per member a month yearly) gives AI search inside the wiki with the same page permissions. If your documents live in Google Drive or SharePoint, ChatGPT Business (US$20 a user yearly) can search them through connectors.
Notion AI vs ChatGPT: the short comparison
Prices are in US dollars, approximate, as of October 2026, from Notion's pricing page and OpenAI's pricing page.
Notion AI (Business plan)
AI inside the wikiUS$20/member/mo yearly, US$24 monthly
- Writes, searches and answers from your Notion pages
- Same page and teamspace permissions as the wiki
- Enterprise Search across Slack, Google Drive and more (beta)
- Verified pages flag which SOPs are current
Best for: Teams that write and maintain SOPs in one place.
ChatGPT Business
Assistant that reaches your filesUS$20/user/mo yearly, US$25 monthly
- General assistant for drafting, analysis and questions
- Company Knowledge searches connected apps such as Google Drive
- Shared projects hold files and instructions for a team
- Minimum two seats
Best for: Teams whose documents stay in Drive or SharePoint.
The two are not either-or for every team. Some businesses keep SOPs in Notion and use ChatGPT for everything else. The question is where the single source of truth for "how we do things" should live.
Where the knowledge lives
This decides most of the comparison. AI answers are only as good as the documents behind them.
| Notion AI | ChatGPT | |
|---|---|---|
| Where SOPs are written | In Notion pages and databases | Elsewhere: Docs, Word, PDFs, Notion |
| How the AI reaches them | Directly; it is the same workspace | Through connectors (apps) or uploaded files in projects |
| Keeping answers current | Edit the page; AI uses the new version | Depends on the connector sync or re-uploading files |
| Marking a page as current | Verified pages badge, shown in AI citations | No equivalent in the source; rely on file dates |
| Other tools searched | Enterprise Search: Slack, Teams, GitHub, Google Drive and more | Connected apps such as Google Drive, SharePoint and others |
Uploaded files are the weak point for SOPs. A PDF uploaded to a ChatGPT project in March does not change when someone updates the procedure in April, so staff can get confident answers from an old version. Connectors avoid that, because they read the live file.
Permissions: can staff see what they should not?
Both vendors say their AI never widens access.
- Notion's AI security and privacy practices say the models "cannot see or use any content you don't already have access to" and that Notion AI never widens your access.
- OpenAI's Company Knowledge help article says it respects permissions in the connected source, so a member only retrieves what they can already view.
The practical risk is the same for both: permissions that are already too loose. If the payroll folder is shared with everyone, an AI search will find it for everyone. Our guide to ChatGPT connectors and Google Drive or SharePoint security covers how to tighten sharing before connecting anything.
Notion's Business plan adds private teamspaces and granular database permissions, which helps keep HR or finance SOPs inside the right group. Notion's Enterprise plan adds an audit log, SCIM provisioning and, per Notion, zero data retention with its AI model providers.
Data use and training
Both say business data is not used to train models by default:
- Notion: by default neither Notion nor its AI providers use customer data to train models, and its contracts with providers prohibit it. On Enterprise, most models used offer zero data retention.
- OpenAI: ChatGPT Business, Enterprise and Edu workspace data is not used to train its models by default, per its enterprise privacy page.
The real exposure is staff using personal free accounts for work. Whichever tool you choose, write a short rule on which accounts staff may use for company documents. Our ChatGPT at work policy guide has a template.

When keeping SOPs in Notion beats uploading files to ChatGPT
Notion AI suits you if
- You are building the wiki now
- SOPs change often and must stay current
- Different teams need different access
- You want checklists and databases, not just documents
ChatGPT suits you if
- Documents already live in Google Drive or SharePoint
- Staff mainly need drafting and analysis, not a wiki
- You already pay for ChatGPT Business
- SOPs are few and rarely change
If your SOPs exist only as screen recordings or tribal knowledge, start by writing them down. Our guide to writing SOPs from screen recordings with AI shows a fast way to do that.
Do it yourself or get help?
A small team can set up a Notion wiki or a ChatGPT shared project in a day. The hard part is writing the SOPs and keeping them owned.
Before you roll it out
If you want the wiki connected to the rest of your tools, for example new SOP pages announced in Slack or forms that create Notion records, our Workflow Automation package (S$390, paid upfront) builds those links. IT Sorted is a Singapore-based team of developers with over 10 years of experience.
Frequently asked questions
Not fully. Notion's pricing page, as of October 2026, lists only a trial of Notion AI on the Free and Plus plans. The Notion Agent, AI Meeting Notes and Enterprise Search are included from the Business plan, which costs US$20 per member per month billed yearly or US$24 monthly.
ChatGPT Business can use connected apps through Company Knowledge, and the sources available depend on your workspace settings and the apps your admin allows. Where a Notion connection is available, ChatGPT can only see what the connected user can see. Check the Apps section of your ChatGPT workspace settings for what is enabled.
Notion says that by default neither Notion nor its AI providers use customer data to train any models, and that its contracts with providers prohibit it. On the Enterprise plan, most models Notion uses have zero data retention. Notion also runs an optional programme where customers can choose to share data.
For a wiki itself, Notion AI, because the AI works on the same pages staff edit and follows the same permissions. ChatGPT is better as a general assistant, and can reach documents in Google Drive or SharePoint through connectors. Many teams use Notion for the wiki and ChatGPT for drafting and analysis.
Both vendors say no: Notion AI and ChatGPT Company Knowledge only use content the signed-in person can already access. The risk is permissions that are already too open, such as folders shared with the whole company. Review sharing on HR, payroll and finance pages before turning on AI search.
