Company-Wide Email Signatures in Microsoft 365 and Google

A consistent company email signature looks professional, and for Singapore companies it is also an easy way to show the company name and registration number that the Companies Act requires on business letters. There are two ways to do it. Per-user signatures live in each person's Outlook or Gmail and look best, but staff can change them. Central footers are added by the mail server to every outgoing email, so nobody can forget, but they appear below the whole message. This guide explains both in Microsoft 365 and Google Workspace, plus mobile, images and what to include.

Key takeaways

  • Companies Act section 144 requires the company name and registration number on business letters and invoices.
  • Microsoft 365 mail flow rules can add an HTML footer to every external email, with tokens such as name and title.
  • Google Workspace's Append footer applies to a whole organisational unit; images must be on a public web URL.
  • Server-added footers sit below the full message, not under each reply, and users do not see them while writing.
  • Keep images small and hosted, and use plain text for the key details so they survive every email app.

Short answer

For a small team, use a standard per-user signature template for name, title and phone, plus a central footer set by the admin for the company name, UEN and any notice. In Microsoft 365 that is a mail flow rule; in Google Workspace it is the Append footer setting.

What a Singapore company email signature should include

Section 144 of the Companies Act 1967 requires a company's name, in legible romanised letters, on all business letters, statements of account, invoices, official notices and publications, and since 2004 its registration number as well, as ACRA's Practice Direction No. 1 of 2004 explains. The Act does not name email specifically, but business emails do the job of letters, so including both in every signature or footer is the safe approach.

For a limited liability partnership, ACRA's page on publication of LLP name and UEN says invoices and official correspondence must show the LLP name, UEN and a statement that it is registered with limited liability.

Signature contents

Signatures on phones and in replies

Outlook and Gmail mobile apps have their own signature setting, and the default is often 'Sent from my iPhone' or 'Get Outlook for Android'. Ask staff to set a short text version in each app: name, title, company name and phone. The central footer still adds the legal line.

Keep reply signatures short. Some teams set a full signature on new emails and a one-line version on replies, which Outlook supports as separate defaults.

Images, logos and spam filters

Image-heavy signatures cause problems: attached images appear as mystery attachments, some apps block remote images by default, and a large image with little text is a classic spam pattern. A few simple habits avoid all three.

Do

  • One small logo hosted on your website over HTTPS
  • All key details as real text, not inside an image
  • Alt text on the logo
  • Plain links to your website

Avoid

  • A whole signature saved as one picture
  • Several social media icons, each an attachment
  • Large banners or animated GIFs
  • Link shorteners or tracking links in every email

Deliverability depends far more on SPF, DKIM and DMARC than on the signature. If emails are landing in spam, start with our guide to SPF, DKIM and DMARC. If you want your logo shown next to emails in Gmail, see BIMI.

Do it yourself or get help?

Setting a central footer is a 20-minute admin job in either platform, and a good DIY task. Per-user signatures take longer only because someone has to check every person's desktop and phone. If you are still setting up mailboxes, our guides to setting up business email and aliases vs new mailboxes cover the basics.

If you want it done as part of a proper set-up, our Business Email Setup (S$249) creates Microsoft 365 or Google Workspace mailboxes for up to five people on your own account, with MX, SPF, DKIM and DMARC records and an email signature template included.

Frequently asked questions

Section 144 of the Companies Act requires a company's name and registration number on business letters, invoices, statements of account and official notices. Email is not named in the Act, but business emails often serve as letters, so most companies include both in signatures or a central footer. It costs nothing and removes any doubt.

Yes. A mail flow rule in the Exchange admin centre can add an HTML footer to every outgoing external email, using tokens such as display name, title and phone from each user's profile. The footer is added after sending, so it appears below the whole message and users do not see it while writing.

In the Admin console, go to Apps, Google Workspace, Gmail, Compliance, and configure the Append footer setting for an organisational unit. It applies to everyone in that unit, including email aliases. Images must be hosted on a public web URL, and changes can take up to 24 hours to apply.

Some email apps embed signature images as attachments rather than linking to them. Recipients then see an unexplained image file. Use one small logo hosted on your website and linked in the signature HTML, and keep all key details as real text so they still show if images are blocked.

Yes. Mobile email apps use their own signature setting, which defaults to lines like Sent from my iPhone. Ask staff to add a short text signature with name, title, company name and phone. A central footer set by the admin still adds the company name and UEN to mobile emails.
