Corporate Gifting Websites: Bulk Quotes, Logo Proofs, Invoicing

Corporate gift orders rarely fit a normal online shop. A buyer wants 300 tumblers with a logo, a quote for finance approval, a proof before production, a purchase order number on the invoice and 30-day terms. Most gifting businesses still run this through email and spreadsheets. This guide shows how to put the repeatable parts online: tiered bulk prices, a quote request flow, safe logo uploads and proof approval, B2B accounts with payment terms, correct GST tax invoices, and when InvoiceNow comes into play.

Key takeaways

  • Publish tiered prices for common items so buyers can budget without asking for a quote.
  • Shopify's B2B features (Basic plan and up) cover company accounts, quantity rules and net terms.
  • Shopify draft orders turn an approved quote into an order with a secure checkout link.
  • Never start production without a recorded proof approval naming the artwork version.
  • Businesses that register for GST voluntarily from 1 April 2026 must already use InvoiceNow.

Short answer

Show tiered bulk prices online, take custom jobs through a quote form with logo upload, convert approved quotes into draft orders with an invoice link or net terms, and get a recorded proof approval before production. If you're GST-registered, issue proper tax invoices and plan for InvoiceNow.

What corporate buyers expect from a gifting supplier

A corporate buyer is usually an HR, marketing or admin executive spending a department budget. They need to get a price approved, collect a logo from design, and give finance the right paperwork. A website that helps them do that wins over one that just shows pretty photos.

Buyer needWhat to put online
"Roughly how much for 200?"Tiered prices per item: 50, 100, 300, 500+
"Can I get a formal quote?"Quote request form that produces a PDF quote with validity date
"Here is our logo"Logo upload with accepted formats and size limits
"Show me what it will look like"Digital proof sent for approval, with version number
"We need it by the event"Production and delivery lead times by item and quantity
"Finance needs a PO on the invoice"PO number field and company billing details at checkout
"We pay in 30 days"Net payment terms for approved accounts

Bulk pricing and quotes: online shop vs quote form

Split your catalogue in two. Standard items with fixed decoration options (a printed tote, an engraved pen) can be sold online with quantity price breaks. Anything custom, such as mixed hampers, special packaging or full-colour printing on unusual items, goes through a quote request.

Online order with price breaks

Standard items
  • Buyer sees the price per unit at each quantity
  • Minimum quantities enforced at checkout
  • Pays by card, PayNow or on account
  • Logo uploaded with the order

Best for: Repeat items under a few thousand dollars.

Quote request, then invoice

Custom jobs
  • Form captures items, quantity, deadline and logo
  • You send a written quote with validity date
  • Approved quote becomes a draft order or invoice
  • Deposit or full payment before production

Best for: Large or one-off corporate orders.

In Shopify, a draft order lets you build an order for a customer, apply discounts and send an invoice with a secure checkout link, or mark it paid if they pay by bank transfer. That turns an emailed quote into a tracked order without retyping.

Logo uploads and proof approval

Artwork is where corporate gifting goes wrong: the wrong logo version, a low-resolution file, a misspelt tagline. Treat upload and proof as a controlled process.

  1. Accept only the file types you need

Typically AI, EPS, SVG and PDF for vector logos, and high-resolution PNG. Set a size limit and reject everything else.

  2. Store uploads away from the website

Keep files in separate storage, not public links, and scan them before opening on a production PC.

  3. Send a numbered proof

Show the item, logo position, size and colours, labelled with a version number and the order reference.

  4. Record the approval

Get a written yes (a button click, email reply or e-signature) that names the proof version. Save it with the order.

  5. Lock the artwork before production

Any change after approval needs a new proof version and, if it affects cost or timing, a revised quote.

Company accounts, purchase orders and credit terms

Repeat corporate customers should get an account: their company details, approved buyers, delivery addresses and payment terms. Shopify's B2B features by plan are available on the Basic, Grow, Advanced and Plus plans (not Starter or Retail) as of October 2026, with company accounts, quantity rules, price breaks and net payment terms. Deposits and partial payments need Shopify Plus.

GST tax invoices and InvoiceNow for corporate customers

Corporate buyers need invoices their finance team can process. If you are GST-registered and the customer is GST-registered, IRAS says a tax invoice generally must be issued within 30 days of the time of supply, with required details such as your GST registration number, the GST amount and the total including GST (IRAS invoicing customers). See our GST tax invoice requirements guide.

InvoiceNow is Singapore's Peppol-based e-invoicing network. Under the IRAS GST InvoiceNow requirement, businesses that apply for voluntary GST registration on or after 1 April 2026 must already send invoice data through InvoiceNow, and other GST-registered businesses are being phased in from 1 April 2028 to 1 April 2031. Large corporate and government buyers increasingly prefer e-invoices anyway. Our InvoiceNow set-up guide explains the timeline and how accounting software connects.

Do it yourself or get help?

A gifting business can start with a Shopify store, quantity price breaks on standard items, a quote form with upload, and draft orders for approved quotes. The parts that need care are file handling, B2B terms and the link to accounting so invoices and payments reconcile.

Our Online Store Pro (S$3,490) builds the store with B2B accounts, tiered pricing, quote and upload flows. Xero / QuickBooks Integration (S$390) syncs orders, invoices and payments, and InvoiceNow (Peppol) Setup (S$190) gets your accounting software sending e-invoices.

Frequently asked questions

Yes, for most gifting businesses. Shopify's B2B features on the Basic plan and up support company accounts, quantity rules, price breaks and net payment terms, as of October 2026. For custom jobs, draft orders let you turn a quote into an order and send an invoice with a secure checkout link. Deposits and partial payments need Shopify Plus.

Through an upload field that accepts only the formats you need, usually vector files like AI, EPS, SVG or PDF plus high-resolution PNG, with a size limit. Store uploads in separate storage rather than public links, scan them before opening, and confirm the file in a numbered proof before production starts.

You should always get it. Send a proof showing the item, logo placement, size and colours with a version number, and record the customer's written approval of that version. It protects you if the customer later disputes the result and stops production on an outdated file. Any later change should trigger a new proof.

If you are GST-registered and the customer is GST-registered, IRAS says you generally must issue a tax invoice within 30 days of the time of supply, showing details like your GST registration number, the GST amount and the total. If you are not GST-registered, you must not charge or show GST on your invoices.

It depends on your GST status. Businesses that apply for voluntary GST registration on or after 1 April 2026 must already use InvoiceNow. Others that are GST-registered are being phased in between 1 April 2028 and 1 April 2031. Non-GST-registered businesses can join voluntarily, which some corporate and government buyers prefer.
