Print Shops Online: File Uploads, Proofs and Price Calculators

Printing is hard to sell online because every order is different: size, paper, quantity, finishing, turnaround and a customer's own artwork. The print shops that make it work turn those choices into a configurator with a live price, take files safely, and get a clear yes on a proof before anything goes to press. This guide covers each piece for a small Singapore print shop: how to structure products and prices, how to accept uploads without inviting malware, how to run proof approval, how to show rush fees honestly, and how to serve business customers who reorder.

Key takeaways

  • A configurator with a live price cuts quote requests and pricing mistakes.
  • OWASP advises an allow-list of file types, a size limit, renamed files and storage outside the web root.
  • Scan uploaded files for malware before staff open them on production PCs.
  • Never print without a recorded proof approval that names the file version.
  • CCS lists hidden costs revealed late in checkout as a dark pattern; show rush fees up front.

Short answer

Use a configurator with a live price (size, stock, quantity, finish, turnaround), accept artwork uploads limited by type and size and stored away from your website, require written proof approval before printing, show rush fees before checkout, and give B2B customers reorder accounts.

Product configurators and price calculators

A good configurator asks only the questions that change the price or the job, in the order a customer thinks about them, and shows the price updating as they choose.

Simple ranges with a few options fit Shopify's variants and product options, extended with an options app. Shopify's theme documentation describes line item properties for capturing extra customer information on an order. Complex pricing, such as banners priced by square metre or many interdependent finishing rules, usually needs a custom calculator; our custom web app guide explains when that's worth building.

Safe artwork uploads: file types, size limits and malware

Every upload form is a door into your business. A file can carry malware aimed at the staff PC that opens it, or be built to attack the website itself. The OWASP File Upload Cheat Sheet is the reference developers use; its core rules apply to any print shop site.

The proof approval loop

Most reprint disputes come down to 'I never approved that'. A proof step with a recorded approval, tied to a specific file version, settles them.

  1. Preflight the file

Check bleed, resolution, colour mode, fonts and size against the order. Note any problems.

  2. Send a proof with a version number

Email or post a PDF proof labelled with the order number and version (v1, v2). Show the trim line and safe area.

  3. List what the customer is approving

Spelling, layout, colours on screen vs print, quantity and finishing. State that printing starts only after approval.

  4. Record the approval

An approve button on a proof page, or a reply quoting the order and version, saved with the job. Changes create a new version.

  5. Start the turnaround clock at approval

Make clear that the promised delivery date counts from proof approval, not from order time.

Proof approval can run through email, a customer portal or a WhatsApp message with the proof attached, as long as the approval is saved with the order.

Rush fees and turnaround: show them before checkout

Express and same-day printing are legitimate up-sells, but the fee must be visible when the customer chooses the option, not added afterwards. The Competition and Consumer Commission of Singapore's guidance on dark patterns lists 'hidden costs', a low headline price followed by extra charges late in the purchase process, among practices consumers should watch for.

  • Show standard, express and same-day prices side by side in the configurator.
  • State the cut-off time for each turnaround (for example, approved by 11am for same day).
  • Say clearly that turnaround starts at proof approval and payment.
  • Show delivery or courier charges before the customer enters payment details.
  • If a file needs fixing, quote the artwork fee before doing the work.

B2B accounts, reorders and invoices

Business customers, such as corporate marketing teams, event companies and schools, bring repeat orders. They want saved artwork, the same specification every time, and invoices their finance team can process.

  • Customer accounts with saved artwork and past orders, so a reorder is one click.
  • Company pricing or tiered discounts applied automatically after login.
  • Pay by invoice for approved accounts, with payment links for PayNow or card on each invoice.
  • Multiple users per company, with one approver for proofs and spending.

Our B2B ordering portal guide covers account pricing and approvals, and our payment links guide shows how to put PayNow on invoices.

Do it yourself or get help?

A shop selling a few standard products with fixed sizes and quantities can run on Shopify with an options and upload app. Get help when pricing depends on many interacting choices, when uploads are large and frequent, or when B2B accounts need their own pricing and approval flow.

Our Online Store Pro package (S$3,490) builds a Shopify store with product options, uploads and B2B features. For configurators, proof portals and pricing rules that Shopify can't handle, our Custom Tool or Dashboard work starts from S$1,990 with a fixed written scope.

Frequently asked questions

Yes, for many print shops. Shopify variants and product options cover sizes and quantities, line item properties capture extra order information, and options or upload apps add artwork uploads and price add-ons. Very complex pricing, such as by area with many finishing rules, or a full proof portal, may need a custom build.

Follow OWASP's file upload guidance: allow only the file types you print from, check the real file type, rename files, set a size limit, store uploads outside the public website, and scan them for malware before staff open them. Keep the production PC updated and protected, and don't use it for email or browsing.

It protects both sides. A proof with a version number, and a recorded approval from the customer, shows exactly what was agreed before printing. If the customer later spots a typo they approved, the record settles it. State that printing and the turnaround clock start only after approval.

Show standard, express and same-day prices side by side in the configurator, with cut-off times, before the customer reaches checkout. Singapore's consumer regulator, CCS, lists hidden costs revealed late in the purchase process as a dark pattern. Clear fees up front avoid disputes and abandoned carts.

Only the ones you actually print from, typically PDF, AI, EPS, TIFF and high-resolution PNG or JPG. Reject everything else, including executables, archives and office documents unless you genuinely need them. A short allow-list is one of OWASP's core upload rules and stops many malicious files.
