Short answer
Write down your must-haves first: staff and rooms, deposits, packages, reminders and calendar sync. Then check each tool for PayNow at booking, reminders that reach Singapore numbers, where data is stored, and whether you can export customers and bookings if you leave.
Start with a booking requirements checklist
Fill this in with whoever takes bookings today. Mark each line must-have, nice-to-have or not needed. It turns a vague demo into a yes or no per vendor.
Booking system requirements checklist
If you are a clinic or salon, our guide to online booking systems for clinics and salons covers sector-specific points such as deposits and health questions.
Types of booking system and when each fits
Booking tools fall into three groups. Matching your checklist to the right group saves a lot of demos.
| Type | Examples | Good at | Weak at |
|---|---|---|---|
| Built into your office suite | Microsoft Bookings, Google appointment schedules | Simple slots, no extra cost, data in your suite | Deposits (Bookings), resources, packages |
| Meeting schedulers | Calendly, Cal.com | Sales calls, consultations, routing, Stripe payments | Rooms, packages, walk-in style services |
| Service booking systems | SimplyBook.me and similar | Staff plus resources, deposits, packages, classes | Cost rises with bookings and staff |
| Custom-built | Your own app | Unusual rules and deep integrations | Highest cost and maintenance |
For a side-by-side of the first two groups, see Calendly vs Cal.com vs Microsoft Bookings.
What booking systems cost (October 2026)
Prices are list prices before GST from each vendor's own page and change often. Use them to set a budget range, not to pick a winner.
- Microsoft BookingsIn Microsoft 365 Business Basic, Standard and PremiumIncluded
- Cal.com Free / TeamsTeams billed yearly; free plan is one userUS$0 / US$12 per user/mo
- Calendly Standard / TeamsBilled yearly; only hosts need seatsUS$10 / US$16 per seat/mo
- SimplyBook.me Basic / Standard / PremiumBilled yearly; 100 / 500 / 2,000 bookings included€11.90 / €24.90 / €49.90 per mo
Typical small business rangeUS$0 to about US$60 a month
Sources: Calendly, Cal.com, SimplyBook.me, Microsoft Bookings. Payment gateway fees are extra.
Watch the limits as much as the price. SimplyBook.me, for example, prices by included bookings and providers: Basic covers 100 bookings and 5 providers, and payments and deposits start from Basic.
PayNow, deposits and payment gateways
Deposits are the most effective way to cut no-shows, and many Singapore customers would rather pay by PayNow than card. Ask two separate questions:
- Which gateways does the booking tool connect to? Calendly and Cal.com use Stripe or PayPal; service booking systems often support several.
- Does PayNow appear at the booking checkout? A gateway like Stripe supports PayNow in Singapore, but the booking tool must request it. Make a test booking and check the payment screen.
Also check refunds and partial deposits: can staff refund a deposit from the booking screen, and can a deposit be applied to the final bill? Our guide to accepting PayNow on your website compares gateway fees.
Reminders that actually reach Singapore phones
Email reminders are standard. SMS and WhatsApp are where tools differ. Microsoft's own Bookings in Teams admin page says Bookings SMS needs Teams Premium and lists only Canada, the UK and the US. Other tools may send SMS through providers whose Singapore delivery you should test.
Two Singapore checks matter. SMS sent with a name instead of a number should come from a Sender ID registered with the SMS Sender ID Registry, or it may be flagged as likely scam. WhatsApp reminders need the WhatsApp Business Platform with approved templates; see our guide to WhatsApp Business API costs.
PDPA, data location and getting your data out
A booking system holds names, phone numbers, emails and sometimes health or family details. Under the PDPA you are responsible for that data even when a vendor stores it. If it is stored overseas, the PDPA's Transfer Limitation Obligation applies, which PDPC explains in its advisory guidelines on key concepts.
Ask where the data is stored
Some tools let you choose: Cal.com offers US or EU hosting, and SimplyBook.me lists data location choice on its Enterprise plan.
Read the vendor's data processing terms
Look for security measures, breach notification and sub-processors. Keep a copy.
Collect less
Do not ask for NRIC numbers to make a booking. Our guide to NRIC collection rules explains when you may.
Turn on two-step login for staff accounts
Booking admin logins are a common way into customer data.
Test the export before you commit
Export customers, upcoming bookings and package balances to CSV during the trial. If you cannot, leaving later will be painful.
For identity numbers specifically, read our guide to NRIC collection rules under the PDPA.
Do it yourself or get help?
If your needs are one person and simple slots, start with what your office suite includes or a free Cal.com plan. Once you have several staff, rooms, deposits and packages, a proper setup and a test run with real scenarios saves weeks of fixing double bookings.
Our Online Booking System package (S$390) sets up the tool in your name with services, staff, hours, deposits, reminders, calendar sync and a website widget. If you also need the payment side, Online Payment Setup (S$290) connects Stripe or HitPay with PayNow and cards.
Frequently asked questions
There is no single best one. A consultant who books calls may only need Cal.com or Calendly. A salon or clinic with rooms, deposits and packages needs a service booking system. If you already use Microsoft 365 or Google Workspace, try their built-in tools first. Start from your requirements checklist, not the vendor list.
Often yes, but check it directly. The booking tool has to connect to a gateway that supports PayNow, such as Stripe or HitPay, and must offer PayNow at its own checkout. Make a test booking during the trial and confirm PayNow appears, refunds work and the deposit links to the right appointment.
Reminders about a booking the customer made are generally part of providing the service they asked for. Marketing messages are different: promotional SMS or WhatsApp to Singapore numbers fall under the Do Not Call rules unless you have clear consent. Keep reminder and marketing messages separate in your booking tool.
Not automatically. The PDPA allows overseas transfers if the data gets protection comparable to the PDPA, under the Transfer Limitation Obligation. Check the vendor's data processing terms and security, record where the data is held, and collect only what you need. You remain responsible for the data either way.
Export customers, future bookings and any prepaid package balances from the old tool, import them into the new one and check a sample by hand. Run both in parallel for a short period, update the booking links on your website, Google profile and social media, and tell regular customers about the change.
