Online Booking Systems for Clinics and Salons in Singapore

An online booking system lets customers see your real availability, book a slot and, if you want, pay a deposit, without a phone call or a WhatsApp back-and-forth. For clinics, salons, spas, tuition centres and studios in Singapore, the features that matter most are a booking page that works well on a phone, deposits to cut no-shows, automatic reminders, calendar sync for each staff member, and careful handling of customer data under the PDPA. This guide explains how to choose a tool, what it costs, and how to set it up in a few days.

Must-have features for a Singapore clinic or salon

  • Services with durations and buffers, for example a 60-minute facial plus 15 minutes to reset the room.
  • Staff calendars, so customers can choose a therapist or doctor, and each person sees only their own bookings.
  • Real-time availability that syncs with Google or Outlook calendars, so personal appointments block slots.
  • Deposits or full payment at booking, ideally with PayNow and cards.
  • Automatic confirmations and reminders by email, SMS or WhatsApp.
  • Easy rescheduling and cancellation by the customer, within rules you set.
  • A mobile-friendly booking page you can link from Instagram, Google and WhatsApp, and embed on your website.
  • Exports and access controls, so you own your customer list and can limit who sees it.

Before you choose, book an appointment on the tool's demo page using your own phone. If it takes more than a minute or needs an account to be created first, your customers will feel the same friction.

Most booking tools charge a monthly subscription, often based on the number of staff or bookings, and some have free plans with limits. Prices change often, so compare current plans on each provider's own pricing page and check what payment and SMS fees are added on top.

Deposits and no-show rules

No-shows are the main reason clinics and salons move to online booking with payment. Options, from gentlest to firmest:

  • Reminders only: an email or message 24 hours before, with a one-tap reschedule link.
  • Card on file: the customer saves a card and you charge only if they miss the appointment, within your published policy.
  • Deposit: a fixed amount or percentage paid at booking, deducted from the final bill.
  • Full prepayment: for classes, packages or high-demand slots.

Whatever you choose, publish the policy clearly on the booking page and in the confirmation: how much, how late a customer can cancel, and what happens to the deposit. Most booking tools take payment through Stripe or a similar gateway; if your customers expect PayNow, check the tool supports it, or use payment links. HitPay and Stripe both list PayNow for Singapore businesses; compare fees on HitPay's pricing page and Stripe's Singapore pricing.

Reminders: email, SMS or WhatsApp

Email reminders are usually included free. SMS reminders often cost extra per message. WhatsApp is what many Singapore customers actually read, but sending automatic WhatsApp messages from a booking system needs the WhatsApp Business API through an approved provider, with pre-approved message templates and Meta's per-message pricing.

If you send reminders only for bookings the customer made, these are service messages. Marketing messages, such as promotions to past customers, need consent, and calls, SMS or WhatsApp marketing to Singapore numbers must respect the Do Not Call Registry. Our guide to WhatsApp Business API costs explains the pricing and opt-in rules.

PDPA: what to collect, and what not to

A booking form is a personal data collection point, so the usual PDPA obligations apply: tell customers why you collect each detail, get consent, protect it and don't keep it longer than needed.

  • Ask only for what you need to deliver the appointment: name, mobile number, email, and the service.
  • Don't ask for NRIC numbers on a booking form. The PDPC's NRIC advisory guidelines allow it only where the law requires it or high-fidelity identification is genuinely needed. A clinic may need it at registration under its own legal requirements, which is different from collecting it on a public web form.
  • Treat health and treatment notes as sensitive. Keep them out of free-text booking notes that every staff member can see, and limit access in the system.
  • Secure the accounts: give each staff member their own login (no shared passwords), turn on two-factor sign-in, and remove leavers promptly.
  • Check where the data is stored and list the booking provider in your privacy policy.

For more, see our guide to NRIC collection rules.

Setting it up in five steps

  1. Write your service list: names, durations, buffers, prices, which staff can do each one, and any deposit.
  2. Set opening hours and staff rotas, including breaks and public holidays.
  3. Connect payments (Stripe, HitPay or the tool's own processor) and run a real test booking with a refund.
  4. Set confirmations and reminders, with your cancellation policy in every message.
  5. Publish the booking link on your website, Google Business Profile, Instagram bio and WhatsApp Business profile, and tell regular customers.

Run phone and online bookings side by side for the first two weeks, and enter phone bookings into the system too, so there is only ever one calendar.

Do it yourself or get help?

A single-person business with a few services can set up a booking tool in an afternoon. Multiple staff, deposits with PayNow, WhatsApp reminders and website integration take longer to get right.

Our Online Booking System (S$390, 5 days) sets up a booking tool in your name with services, staff and hours, deposit or full payment at booking, email or SMS reminders, calendar sync and a widget on your site. Need card and PayNow payments set up first? Add Online Payment Setup (S$290). For WhatsApp reminders through the official API, add WhatsApp Notifications (S$590), or take all three together in our Online Bookings Kit.

Frequently asked questions

It depends on your size and needs. Look for staff calendars, deposits with PayNow and cards, automatic reminders, easy rescheduling and a mobile-friendly booking page. Test the customer booking flow on your phone before choosing.

Yes, if the booking tool's payment provider supports PayNow, or if you send a PayNow payment link. Check before you choose, because some booking tools support only card payments.

Yes, through the WhatsApp Business API with an approved provider and pre-approved message templates. Meta charges per message, and the provider may add its own fee. The regular WhatsApp Business app can't send automated reminders from a booking system.

Generally no. The PDPC allows NRIC collection only where the law requires it or high-fidelity identification is necessary. For bookings, a name, mobile number and email are enough.
