Short answer
If you pay for Microsoft 365, use Teams; if you pay for Google Workspace, use Meet. Both cost nothing extra. Add Zoom Workplace Pro (S$19.99 per user per month, billed annually) only for the people who host webinars or many client calls and prefer Zoom.

What it really costs if you already pay for email
Most SMEs already pay for Microsoft 365 or Google Workspace for email. That changes the maths completely: the meeting tool inside your plan is free at the margin, while Zoom is an extra subscription.
| Your email platform | Meetings included | Extra cost for Zoom Pro (5 hosts) |
|---|---|---|
| Microsoft 365 Business Basic, Standard or Premium | Teams, 300 participants, 30 hours | About S$1,200 a year |
| Google Workspace Business Starter | Meet, 100 participants, no recording | About S$1,200 a year |
| Google Workspace Business Standard | Meet, 150 participants, recording | About S$1,200 a year |
| No business email suite | None | Zoom Pro, or Teams Essentials at US$4/user/mo |
You also do not need a paid seat for everyone. In Zoom and Teams, only the person hosting needs a licence; guests join free. If two people run client meetings, buy two Zoom seats, not ten.

Meeting limits, recording and webinars
| Feature | Teams (M365 Business) | Google Meet (Workspace) | Zoom Pro / Business |
|---|---|---|---|
| Max participants | 300 | 100 / 150 / 500 by plan | 100 / 300 |
| Max meeting length | 30 hours | 24 hours | 30 hours |
| Recording | Yes, with transcripts | Business Standard and above | Local and 10 GB cloud per licence |
| Webinars with registration | Business Standard and above | Not a webinar tool; live streaming on Enterprise | Webinars add-on, from S$68.99 for 500 attendees |
| Free version for guests | Yes, join from browser | Yes, join from browser | Yes, join from app or browser |
For regular team and client meetings, all three are comfortably enough. The difference shows with public events: if you run monthly webinars with sign-up forms and attendance reports, Teams in Business Standard or Zoom with the Webinars add-on handle that better than Meet.
If you record meetings or use AI note-takers, remember recordings and transcripts can contain personal data. Our guide to AI meeting notes tools and the PDPA explains consent and retention.
Security settings to switch on
Default settings are built for convenience. A few changes stop most uninvited guests and accidental leaks.
Meeting security checklist
In Microsoft 365 and Google Workspace, these settings live in the admin centre and apply to everyone. Doing them once at the admin level is better than relying on each person.
Deepfake video calls: how to verify who you are talking to
Criminals now use AI-generated faces and voices on video calls to pose as directors, suppliers or officials and ask for urgent transfers. A familiar face on screen is no longer proof of identity.
Treat payment requests on a call as unverified
Any request to transfer money, change bank details or share login codes needs a second check, however senior the caller appears.
Call back on a number you already have
Hang up and call the person on a number from your own records, not one given in the meeting invite or chat.
Agree a simple code word for urgent requests
Directors and finance staff can agree a phrase that must be used for any urgent payment instruction.
Check the meeting link and sender
Fake invites often come from look-alike domains. Join only links from known addresses.
Report it
If you suspect a scam, stop, do not pay, and call the ScamShield Helpline at 1799. Report to the police if money was lost.
Our guide to government official impersonation scams shows how these approaches typically unfold.
Do it yourself or get help?
Picking the tool is usually straightforward: use the one in your email plan, and add Zoom seats only where needed. The work is in the admin settings and making sure every account is protected.
Business Email Setup (S$249) sets up Microsoft 365 or Google Workspace in your name for up to five people, with Teams or Meet ready to use. Microsoft 365 / Google Security Lockdown (S$590) enforces MFA, blocks risky sign-ins and tightens external sharing across mail, files and meetings.
Frequently asked questions
Teams is included in Microsoft 365 Business Basic, Business Standard and Business Premium at no extra cost, as of October 2026. Microsoft also sells the business plans without Teams in some markets. For a business that only needs meetings, Teams Essentials costs US$4 per user per month on a yearly subscription, excluding GST.
Zoom's free Basic plan limits meetings to 40 minutes with up to 100 participants, as of October 2026. Zoom Workplace Pro, at S$19.99 per user per month billed annually excluding GST, raises the limit to 30 hours and adds 10 GB of cloud recording per licence.
Yes, on Google Workspace Business Standard and higher plans. Google's Singapore pricing page lists recording and noise cancellation with 150 participants on Business Standard at S$18.80 per user per month. Business Starter at S$9.40 includes Meet for 100 participants but not recording.
All three encrypt meetings and offer lobbies, host controls and admin policies. In practice, security depends more on your settings: MFA on host accounts, lobbies for external guests, recording off by default and removing leavers' accounts. Teams and Meet are managed from the same admin centre as your email, which makes that easier.
No. Guests can join Teams, Google Meet and Zoom meetings without a paid licence, usually from a web browser. Only the person who schedules and hosts the meeting needs a paid plan to avoid free-tier limits, so most small businesses buy Zoom seats only for their regular hosts.
