Short answer
If you are on Google Workspace, use the Gemini that is already in your Business plan. If you are on Microsoft 365, start with the free Copilot Chat and buy Microsoft 365 Copilot Business (US$21 per user per month at list, October 2026) only for the people who will use it daily.
Copilot vs Gemini: the quick comparison
The real question is rarely which AI is smarter. It is which one comes with the email and documents you already use. Moving a whole company between Microsoft 365 and Google Workspace for the sake of an AI assistant is rarely worth it. If you are still choosing a suite, read our Microsoft 365 vs Google Workspace comparison first.

Microsoft Copilot price for business in Singapore
Microsoft's Singapore Copilot pricing page lists prices in US dollars, excluding GST. These are approximate, as of October 2026.
| Plan | Annual commitment | Monthly commitment | Notes |
|---|---|---|---|
| Copilot Chat | Included | Included | Comes with eligible Microsoft 365 Business plans |
| Microsoft 365 Copilot Business (add-on) | US$21.00 list; US$18.00 promo | US$25.20 | Needs Business Basic, Standard or Premium; up to 300 users |
| Business Standard with Copilot (bundle) | US$23.50 shown | US$28.20 | Bundle price shown on Microsoft's page |
| Business Premium with Copilot (bundle) | US$32.00 shown | US$38.40 | Bundle price shown on Microsoft's page |
The US$18.00 add-on price is a promotion Microsoft says runs from 1 July to 31 December 2026, with an annual commitment, for the first year only. When Microsoft launched Copilot Business on 1 December 2025, its partner announcement gave the list bundle prices as US$30.50 (Standard) and US$43 (Premium), so the lower bundle prices on the page today are discounted. Budget for the list price at renewal.
Gemini for Google Workspace pricing
Google stopped selling Gemini as a separate add-on for Business plans and folded it into the plans themselves. Prices from Google's Singapore Workspace pricing page, approximate, as of October 2026, excluding tax, flexible monthly plan:
| Plan | Price per user/month | Gemini access |
|---|---|---|
| Business Starter | S$9.40 | Gemini in Gmail; basic access to the Gemini app |
| Business Standard | S$18.80 | Gemini in Gmail, Docs, Meet and more; expanded Gemini app access |
| Business Plus | S$29.40 | As Standard, plus more storage and security controls |
Google says a one-year commitment saves up to 16%, and its page shows short introductory discounts for new customers. For staff who hit the usage limits, Google sells an AI Expanded Access add-on for Business Standard and Plus. Google says its price depends on your currency and term, so check the Admin console before you buy.
What each assistant does inside email and documents
Feature lists change every few months, so compare the jobs you actually do. Both vendors cover the common office tasks.
| Task | Microsoft 365 Copilot (paid) | Gemini in Workspace |
|---|---|---|
| Draft and summarise email | Outlook | Gmail (all Business plans) |
| Draft and rewrite documents | Word | Docs (Standard and up) |
| Analyse a spreadsheet | Excel | Sheets (Standard and up) |
| Meeting notes and summaries | Teams | Meet (Standard and up) |
| Chat grounded in your files and mail | Yes, through Microsoft Graph | Yes, within what the user can access |
| Research agents | Researcher and Analyst agents | Gemini app and Gemini Notebook |
We have not run our own head-to-head tests of the two assistants. For published comparisons of the underlying models, see our ChatGPT vs Claude vs Gemini guide, which uses public leaderboards with dates.
Data protection: what Microsoft and Google promise
For a Singapore business handling customer data under the PDPA, the contract terms matter more than the features.
- Microsoft says prompts, responses and data accessed through Microsoft Graph are not used to train foundation models, and that Copilot for organisations is covered by its Data Protection Addendum with Microsoft acting as data processor (Microsoft enterprise data protection).
- Google says Gemini interactions stay within your organisation, your content is not shared outside it without permission, and prompts are not used to train generative AI models outside your domain without permission (Workspace generative AI privacy hub).
Whichever tool you pick, write down which data staff may put into AI tools. Our guide to a ChatGPT and AI at work policy under the PDPA has a template you can adapt for Copilot or Gemini.
Pilot before you buy: a 30-day plan
AI seats are easy to buy and easy to forget about. A short pilot tells you whether the add-on pays for itself.
Pick three to five pilot users
Choose people who write a lot of email, sit in many meetings or work in spreadsheets. On Google, they already have Gemini; on Microsoft, buy Copilot Business seats for these users only, on monthly billing if you want an easy exit.
List five real tasks per person
For example: reply to a supplier complaint, summarise a 40-email thread, turn meeting notes into actions, draft a quotation, explain last month's sales sheet.
Clean up sharing first
Check who can open HR, finance and client folders. Remove 'everyone' and public links where they are not needed.
Time the tasks for two weeks
Ask each user to note roughly how long each task took with and without the assistant, and any wrong or made-up answers.
Decide per person, not per company
Keep seats for people who save at least a few hours a month. At US$21 a month, a seat pays for itself if it saves an hour or so of staff time.
If you are deciding whether Business Premium is worth its higher price for security reasons, our guide to whether Microsoft 365 Business Premium is worth it covers that separately from Copilot.
Do it yourself or get help?
Switching Gemini on or adding Copilot licences takes minutes in the admin console. The part that takes time is the groundwork: tidy file sharing, MFA on every account and a written AI policy.
Before you switch AI on
If you would rather hand the groundwork over, Microsoft 365 / Google Security Lockdown (S$590) reviews sharing, MFA and admin settings on your tenant before AI tools can surface the wrong files. Still on old hosting email? Business Email Setup (S$249) moves you onto Microsoft 365 or Google Workspace in your own name. You pay Microsoft or Google directly; we earn no commission on licences.
Frequently asked questions
As of October 2026, Microsoft lists Microsoft 365 Copilot Business at US$21 per user per month on an annual commitment, excluding GST, for organisations with up to 300 users. A promotional price of US$18 applies to annual purchases made between July and December 2026, for the first year. Monthly billing is US$25.20. Copilot Chat is included free with Microsoft 365 Business plans.
Gemini is included in Google Workspace Business plans without a separate charge. Business Starter gets Gemini in Gmail and basic access to the Gemini app. Business Standard and Plus add Gemini in Docs, Sheets, Meet and other apps with higher limits. Heavy users can be given the paid AI Expanded Access add-on.
The better choice is usually the one built into the suite you already pay for. Gemini costs nothing extra on Google Workspace Business plans, while full Microsoft 365 Copilot is a paid add-on. Switching your whole email and file system to get a different assistant rarely makes sense. Run a short pilot with real tasks instead.
Both vendors say no for business accounts. Microsoft states prompts, responses and data accessed through Microsoft Graph are not used to train foundation models. Google states Workspace prompts and content are not used to train generative AI models outside your domain without permission. Personal consumer accounts follow different terms.
They can see anything the signed-in user already has permission to open, and nothing more. The risk is files shared too widely, such as HR folders open to everyone. Review sharing permissions on sensitive folders and remove unnecessary public links before you turn on an AI assistant for all staff.
