SharePoint vs OneDrive vs Teams: Where Company Files Should Live

In Microsoft 365, OneDrive, SharePoint and Teams all store files, and staff often put company documents in whichever opens first. That causes the classic problems: a leaver's OneDrive holds the only copy of a contract, a Teams channel and a SharePoint site duplicate the same folder, and sync slows to a crawl. This guide explains the simple rule (OneDrive for personal work, SharePoint for team files, Teams as a window onto SharePoint), the storage and sync limits that matter, a folder and permission plan for an SME, and how to move off a file server or shared drive.

Key takeaways

  • OneDrive is personal storage tied to one user; files there are at risk when that person leaves.
  • Every Team creates a SharePoint site; standard channel files live in that site's document library.
  • SharePoint storage is 1 TB per organisation plus 10 GB per licence, separate from OneDrive.
  • Microsoft recommends syncing no more than 300,000 items in the OneDrive sync app.
  • Set permissions on a few sites and libraries, not on hundreds of individual folders.

Short answer

Keep company files in SharePoint (often via a Team), and use OneDrive only for each person's own drafts. Files in a Teams channel already live in that team's SharePoint site, so Teams and SharePoint are the same storage, not two places.

SharePoint vs OneDrive vs Teams: the short version

All three use the same storage engine, which is why they look alike. The difference is who owns the files and who can see them by default.

OneDrive

Personal
  • Belongs to one user
  • Drafts, personal notes, work in progress
  • Shared item by item with links
  • At risk when the person leaves

Best for: Each person's own files before they are ready to share.

SharePoint site

Company files
  • Belongs to a group or department
  • Survives staff changes
  • Permissions set per site or library
  • Can be synced or added as a shortcut

Best for: Finance, HR, projects, templates, anything the business must keep.

Teams Files tab

A view of SharePoint
  • Each team gets its own SharePoint site
  • Standard channels are folders in that site
  • Private and shared channels get their own separate sites
  • Chat attachments go to the sender's OneDrive

Best for: Working on files where the conversation already happens.

Microsoft's article on how SharePoint and OneDrive interact with Teams confirms that creating a team creates a parent SharePoint site used for all standard channels, and that each private channel has its own SharePoint site.

Storage and sync limits that matter for an SME

You rarely run out of OneDrive space, but SharePoint storage is shared across the company and can fill up after a file server migration.

LimitValue (October 2026)What it means for you
OneDrive per user1 TB on Microsoft 365 Business plansPlenty for personal files
SharePoint for the organisation1 TB plus 10 GB per licenceA 20-user company gets about 1.2 TB for all sites
Largest single file250 GBFine for most videos and CAD files
Sync app itemsNo more than 300,000 items recommendedDo not sync every library on every laptop
Storage per site25 TBNot a practical limit for small firms
Sources: Microsoft SharePoint limits, OneDrive and SharePoint restrictions and limitations, Microsoft OneDrive plans page.

Microsoft's SharePoint limits page gives the 1 TB plus 10 GB per licence pool, and its restrictions and limitations article gives the 250 GB file limit and the 300,000-item sync recommendation. Microsoft says it is starting to support up to 1,000,000 items on newer, well-specified PCs, but older laptops stay at the 300,000 figure.

Why company files should not live in OneDrive

OneDrive feels convenient because it is the default save location in Office. The risks show up later:

  • Leavers: when a user is deleted, another person gets access to their OneDrive for 30 days by default, according to Microsoft's OneDrive retention and deletion article. After that the files are deleted unless retention settings keep them.
  • Unlicensed accounts: Microsoft archives OneDrive accounts without a valid licence on their 93rd unlicensed day, and archived storage carries a charge.
  • Hidden sharing: files shared from OneDrive with 'anyone' links are hard to track across the company.
  • No structure: each person invents their own folders, so nobody else can find anything.

Our employee offboarding IT checklist covers moving a leaver's files before the account is deleted.

A simple SharePoint structure for a small business

For a company of 5 to 50 people, a handful of sites is enough. More sites mean more permissions to manage.

Site or teamWho has accessTypical libraries
Company (all staff)EveryonePolicies, templates, forms, logos
FinanceDirectors and accountsInvoices, bank, payroll, tax
HRDirectors and HRContracts, leave, staff records
Operations or Projects (Team)Project staffOne folder per client or project
ManagementDirectors onlyBoard papers, shareholder documents

Give access to a site through its Microsoft 365 group or team membership, not to individual folders. When you need a different audience, create a new library or site rather than breaking permissions deep in a folder tree, which becomes impossible to audit. Clean up old sharing links regularly; our guide to cleaning up SharePoint and OneDrive sharing links shows how.

Moving from a file server or shared drive to SharePoint

Microsoft's free Migration Manager in the SharePoint admin centre moves file share content into SharePoint, Teams and OneDrive. The tool is the easy part; the plan is what matters.

  1. Map old folders to new sites

List the top-level folders on the server and decide which SharePoint site and library each one goes to. Archive what nobody has opened in years.

  2. Fix names and paths

Rename files and folders with characters OneDrive does not allow and shorten very deep paths before moving them.

  3. Set permissions on the new sites first

Create the sites, add the right groups, and test with one user from each department before any data moves.

  4. Run a pilot with one department

Move one department, let them work for a week, and fix what they report before moving the rest.

  5. Cut over and make the old share read-only

Run a final sync, set the old server or drive to read-only, and tell staff where things now live. Keep it read-only for a few weeks, then retire it.

Security settings to check while you are there

SharePoint and OneDrive security basics

These settings live in the SharePoint admin centre and the Microsoft 365 admin centre. Changing the default link type and external sharing level takes a few minutes and closes the most common leak.

Do it yourself or get help?

A small team can set up three or four SharePoint sites and move files in a weekend, as long as someone owns the folder plan and permissions. Get help when you have a large file server, years of mixed permissions, or staff on personal devices.

Our Microsoft 365 / Google Security Lockdown (S$590) sets sharing defaults, MFA, admin roles and device rules across Microsoft 365, so the new file structure starts secure.

Frequently asked questions

OneDrive is personal storage that belongs to one user, meant for drafts and their own work. SharePoint sites belong to a team or department and keep files when people come and go. Both use the same storage technology, but company records such as contracts, invoices and HR files should live in SharePoint.

Files posted in a standard Teams channel are stored in the SharePoint site created for that team, in a folder named after the channel. Private and shared channels get their own separate SharePoint sites. Files attached in one-to-one or group chats are stored in the sender's OneDrive and shared with the people in the chat.

Microsoft gives each organisation 1 TB of SharePoint storage plus 10 GB for every licence purchased. A 20-person company on Business Standard would get about 1.2 TB shared across all its SharePoint sites and Teams. This is separate from each user's 1 TB of OneDrive storage.

Yes. The OneDrive sync app syncs SharePoint libraries as well as OneDrive. Microsoft recommends no more than 300,000 items in total across everything you sync, so sync only the folders you use often and open the rest in the browser. Files On-Demand keeps files online until you open them.

When you delete the user, Microsoft 365 can give their manager or another person access to the OneDrive, by default for 30 days. After that the files are deleted unless retention settings keep them. Move anything the business needs into SharePoint before you delete the account.
