Short answer
Use a booking tool that supports recurring appointments and staff assignment, collect a card on file with written consent for automatic charges, send WhatsApp or SMS reminders the day before, and show door codes only to the assigned cleaner. Put package terms in writing.
What a home cleaning booking system needs to handle
Home services differ from salon or clinic bookings in three ways: the work happens at the customer's home, the same customer books the same slot for months, and customers often want the same person each time.
| Need | Home cleaning | Aircon servicing |
|---|---|---|
| Typical repeat pattern | Weekly or fortnightly, same day and time | Every 3 to 6 months, flexible day |
| Duration | By home size and hours booked | By number of units and service type (general, chemical wash, overhaul) |
| Staff assignment | Same cleaner preferred | Any technician; team of two for larger jobs |
| Travel buffer | Between homes, by area | Between jobs, with equipment |
| Payment pattern | Per visit, monthly or prepaid package | Per visit or annual contract |
Most off-the-shelf booking tools handle one-off appointments well. Check specifically for recurring bookings, staff assignment, service area rules and travel buffers before you commit.
Recurring slots, cleaner assignment and reschedules
Define services by duration
For example 3-hour and 4-hour cleans, or aircon general service per unit. Duration drives the calendar, so price and time should match.
Set up recurring bookings
Let customers choose weekly, fortnightly or monthly at signup, or let staff convert a one-off booking into a recurring series.
Assign a regular cleaner
Link each recurring series to a staff member, with a backup when they are on leave. Customers can see who is coming in the reminder.
Add area and travel rules
Group bookings by region and add travel buffers so staff are not sent from Woodlands to Pasir Ris in 15 minutes.
Write simple skip and reschedule rules
For example: skip or move a visit free with 48 hours' notice; late cancellations charged a set fee. Show the rule at booking and in every reminder.
Our cleaning company website guide covers the website side, including the point that NEA lists cleaning of domestic premises as excluded work for its cleaning business licence, while commercial cleaning needs one.
Addresses, door codes and access details
Recurring home services often involve keys, gate codes, lockbox codes or instructions like 'the key is under the shoe rack'. That information is sensitive: in the wrong hands it gives access to someone's home.
Protecting customer access details
Under the PDPA, organisations must make reasonable security arrangements to protect personal data in their possession. Addresses, phone numbers and access instructions all count. This is general information, not legal advice.
Payments: card on file, monthly billing or prepaid packages
Card on file, charged per visit
Flexible- Customer saves a card at first booking
- Charged automatically after each visit
- Easy to handle skipped weeks
- Needs clear written consent
Best for: Weekly cleaning where visits vary.
Monthly subscription
Predictable- Fixed monthly fee for a set number of visits
- Customer portal to update card or cancel
- Automatic retries for failed payments
- Needs rules for missed visits
Best for: Regular customers on a fixed schedule.
Prepaid package
Cash up front- Customer buys, say, 10 visits in advance
- Good for cash flow
- Needs expiry, transfer and refund terms
- Track remaining visits per customer
Best for: Aircon servicing bundles and loyal cleaning customers.
Stripe's guide to saving a payment method says that to charge a customer when they are not present, your terms must include their agreement to you initiating payments, the expected timing and frequency, how the amount is set and your cancellation policy, and you must keep a record of that agreement. It also notes off-session charges may still be declined or need authentication by the bank, so send a payment link when that happens.
Our Stripe subscription billing guide walks through setting up plans and the customer portal.
Package and cancellation terms that stay fair
Prepaid packages and cancellation fees are where disputes start. The Consumer Protection (Fair Trading) Act makes it an unfair practice for a supplier to do or say anything, or leave something out, that might reasonably deceive or mislead a consumer, or to make a false claim.
Fair, clear terms
- Package expiry date stated at purchase
- What happens to unused visits if the customer moves
- Cancellation and late-cancellation fees in plain numbers
- Terms shown at checkout and in the receipt
Terms that cause disputes
- Expiry mentioned only in small print after payment
- No refund route for unused visits
- Fees that change without notice
- Terms that differ between website and WhatsApp messages
WhatsApp reminders and follow-ups
A reminder the day before cuts no-shows and locked doors. Most customers in Singapore prefer WhatsApp. Automated WhatsApp messages from a booking system go through the WhatsApp Business API, and reminders use approved utility templates.
Meta's WhatsApp pricing page says it has charged per message since 1 July 2025, by category and country, and never for messages customers send to you. Our WhatsApp Business API cost guide has current Singapore rates; a reminder costs a few cents.
Useful message templates: booking confirmation, reminder with cleaner name and time, on-the-way notice, receipt after payment, and a reschedule link.
Do it yourself or get help?
Many booking tools can be set up by an owner over a weekend. Recurring series, saved cards with proper consent and WhatsApp templates take longer to connect so they work together.
Our Online Booking System (S$390) sets up a booking tool in your name with services, staff, deposits or full payment and reminders. Subscriptions & Recurring Billing (S$490) adds Stripe plans, a customer portal and failed-payment retries. WhatsApp Notifications (S$590) connects booking confirmations and reminders through the official API.
Frequently asked questions
Look for one that supports recurring appointments, assigns a specific cleaner to each series, handles travel time between homes, stores access instructions securely and connects to card payments and WhatsApp or SMS reminders. Test the recurring and reschedule features with real scenarios before moving all customers over.
Yes, if the customer has saved a card and agreed in writing. Stripe says your terms must cover that you will initiate payments, their timing and frequency, how amounts are set and your cancellation policy, and you must keep a record. Some charges may still need the customer to authenticate or may be declined.
NEA lists cleaning of domestic premises among excluded cleaning work for its cleaning business licence, so a business doing only home cleaning does not need it. If you also clean offices, shops or other commercial premises, you need an NEA cleaning business licence before starting that work.
Keep them in your booking system with access limited to the assigned staff member, not in group chats or shared spreadsheets. Use individual logins with multi-factor authentication, remove access when staff leave and ask customers to change codes if a cleaner leaves or a key goes missing.
Yes, but state the terms clearly before payment: number of visits, expiry date, what happens to unused visits and how cancellations work. Singapore's Consumer Protection (Fair Trading) Act treats misleading statements or omissions as unfair practices, so terms hidden after payment invite disputes.
