Short answer
Yes, HitPay connects to Xero directly. The Xero Sync posts HitPay sales, fees and refunds once a day into a HitPay Clearing Account, then a daily transfer to your bank for sales minus fees. The separate Xero Invoices Payment option adds a PayNow button to Xero invoices, with a 0.2% surcharge.
The two parts of the HitPay and Xero integration
People often turn on one part and expect the other. HitPay documents them as two features that share one Xero connection.
Xero Sync (sales data feed)
Bookkeeping- Posts HitPay sales, fees and refunds to Xero once a day
- Covers online store, POS and payment link sales
- Creates a HitPay Clearing Account in Xero
- Daily settlement transfer to your bank account
Best for: Shops and service businesses taking HitPay payments outside Xero invoices.
Xero Invoices Payment
Getting paid- Adds a 'PayNow' (or similar) button to Xero online invoices
- Customer pays by PayNow or card through HitPay
- Payment is reconciled against the invoice itself
- 0.2% surcharge on top of normal HitPay fees
Best for: B2B businesses that invoice from Xero and want PayNow payments.
Both are described in HitPay's Xero Sync documentation and Xero Invoices Payment documentation. HitPay's Xero App Store listing shows the app has been listed since November 2020.
What the Xero Sync posts, line by line
HitPay's documentation lists exactly what it creates. Knowing this tells you where to look when something doesn't match.
| Item | What HitPay creates in Xero | Where it lands |
|---|---|---|
| Sales | A sales invoice per transaction, or one combined invoice per day | Paid into the HitPay Clearing Account |
| Processing fees | A spend money transaction | From the clearing account to your fee account |
| Refunds | A refund record | Your selected refund account |
| Daily settlement | A transfer for total sales minus fees | From the clearing account to your bank account |
The daily settlement transfer is what makes the bank side match: the money HitPay pays out should appear in your bank feed as the same amount, which you match to the transfer rather than to a sale.
How to set up HitPay's Xero Sync
Set-up takes about fifteen minutes if your Xero chart of accounts is ready.
Prepare the Xero accounts
In Xero, open Accounting, Chart of accounts, and tick 'Enable payments to this account' on the sales and fee accounts you want to use. HitPay's dropdowns only show accounts with this setting.
Connect from the HitPay dashboard
In HitPay, go to Others, Integrations, find the Xero card under Accounting and click Manage, then Connect to Xero. Select only the organisation you want, because HitPay connects the most recently active one if you grant several.
Choose a sync start date
The feed only covers transactions from this date. Older HitPay sales are not imported, so pick the day after your last manual entry.
Pick accounts and import style
Select your real bank account for payouts, the sales account and the fee account. Choose 'Lumpsum for each day' for one invoice a day or 'By individual transaction' for one invoice per sale.
Select all sales channels
Channels you don't tick are skipped without warning. 'All Sales Channels' is the safe choice.
Switch the feed on
Set 'Allow HitPay to Automatically Create Invoices' to Yes. HitPay says a 'No' here is the most common reason merchants see nothing in Xero.
Limits of the HitPay Xero Sync
The sync is simple by design. These are the limits HitPay lists, and what to do about each.
| Limit | What it means | Workaround |
|---|---|---|
| Home currency only | Foreign-currency HitPay transactions are not fed to Xero | Record them by hand or from a HitPay export |
| Xero invoice payments excluded | Invoice payments are reconciled on the invoice, not in the feed | Nothing to do; this prevents double counting |
| One organisation per HitPay account | A Xero file can link to only one HitPay account | Use one HitPay account per company |
| Forward-looking | No import of sales before the start date | Enter earlier months from HitPay reports |
| Once a day | Today's payments appear after the next morning's run | Reconcile the previous day, not today |
For Shopify stores, check which tool records the sale before turning on the HitPay feed. If a shop connector already creates invoices in Xero, the HitPay feed would add them a second time. Our guide to Stripe and HitPay fees in Xero explains the clearing-account method behind all of this.
Daily and monthly checks
Most problems show up in the clearing account, so watch its balance.

If you also take PayPal, the same approach applies; see our PayPal reconciliation guide. Deciding between gateways first? Our HitPay vs Stripe comparison covers fees and features.
Do it yourself or get help?
If HitPay is your only payment channel and you sell in Singapore dollars, the set-up above is a short job you can do yourself. It gets harder with several channels feeding Xero at once, such as Shopify orders, HitPay POS, Stripe and PayPal, where one wrong setting doubles your sales.
Our Sales & Payout Sync (S$490) connects up to three channels to Xero, QuickBooks or Zoho Books with sales, fees, refunds and payouts split out, agrees the accounts with your accountant and checks one month of payouts against your bank. If you don't have HitPay yet, Online Payment Setup (S$290) sets up HitPay or Stripe in your name with PayNow, cards and payment links. HitPay's fees are paid by you directly.
Frequently asked questions
Yes. HitPay has an official Xero app, listed on the Xero App Store since November 2020. It can add a PayNow payment button to Xero online invoices and, separately, feed your HitPay sales, fees and refunds into Xero once a day through a HitPay Clearing Account. HitPay says connecting the two is free.
HitPay lists the usual causes: the setting that lets HitPay create invoices is set to No, the sync start date is missing or in the future, some sales channels are not ticked, the sales are in a foreign currency, or the payment was taken today and will appear after the next morning's sync. Check those in that order.
HitPay's documentation says payments made through its Xero invoice plugin carry a 0.2% surcharge on top of the normal HitPay fees. For PayNow payments of S$100 and above, that means 0.85% plus S$0.30 instead of 0.65% plus S$0.30, based on HitPay's Singapore pricing in October 2026.
It is a bank-type account HitPay creates in your Xero organisation when you first save the sync settings. Sales are paid into it, fees are paid out of it, and a daily transfer moves sales minus fees to your real bank account. Its balance should match money HitPay is holding for you but has not yet paid out.
Not through the Xero Sync. HitPay's documentation says only transactions in your HitPay account's home currency are fed to Xero and foreign-currency transactions are skipped. Record those separately, for example from a HitPay export, and agree the treatment with your accountant.
