Free Business Email: Options, Limits and Why They Bite Later

You can get an email address on your own domain without paying a monthly fee. The options are a free mailbox plan such as Zoho Mail Forever Free, a forwarding service such as Cloudflare Email Routing that passes mail to an existing inbox, or the mailboxes that come with web hosting. Each works on day one. The limits show up later: no Outlook sync, no proper sending, a Gmail change in January 2027, and a migration bill when you grow. This guide compares them with October 2026 facts.

Key takeaways

  • Zoho Mail Forever Free covers one domain, up to 5 users and 5 GB each, without IMAP, POP or ActiveSync.
  • Cloudflare Email Routing forwards incoming mail for free; it is not a mailbox you can send from.
  • From January 2027 free Gmail stops 'Send as' for third-party addresses, breaking a common forwarding workaround.
  • Hosting mailboxes stop working if the hosting lapses, and spam filtering is usually basic.
  • Moving mailboxes later costs time and money; starting on a low-cost paid plan is often cheaper overall.

Short answer

The main truly free option is Zoho Mail Forever Free (up to 5 users, 5 GB each, no IMAP or Outlook sync). Cloudflare Email Routing is free but only forwards incoming mail. Paid plans start at about S$1.33 per user a month (Zoho Mail Lite, annual, as of October 2026), which removes most of the limits.

Free business email options compared

'Free business email' usually means one of four set-ups. They differ in whether you get a real mailbox, whether you can send properly from your domain, and what happens when you grow.

Zoho Mail Forever Free: what you get and give up

Zoho's Mail pricing page lists a Forever Free plan with email hosting for one domain, up to five users and 5 GB of mail storage per user. It is marked as available only in select Zoho data centres, and from the sixth user all users move to a paid plan.

Pros

  • Real mailboxes on your own domain at no cost
  • No ads, according to Zoho
  • Web and mobile apps that work well for basic email
  • Easy upgrade to Zoho's paid plans

Cons

  • Zoho states IMAP, POP and ActiveSync are not included, so Outlook and iPhone Mail will not connect
  • Maximum of five users, one domain
  • 5 GB per user fills up with attachments over time
  • Only offered in some Zoho data centres

For a sole proprietor happy to use Zoho's app, it is a reasonable start. If staff expect Outlook, or you need shared mailboxes and calendars, it will not last. Our Zoho Mail vs Google Workspace comparison covers the paid plans.

Email forwarding with Cloudflare Email Routing

Cloudflare's Email Service documentation says Email Routing forwards incoming email to verified destination addresses and is available on Free and Paid plans. You create addresses such as hello@yourdomain.sg and forward them to an inbox you already use.

What it does not do is give you a mailbox to send from. Cloudflare's limits page notes that, without onboarding a sending domain on its paid Workers plan, you can only send to your own verified destination addresses. In practice, replies go out from your personal Gmail or Outlook address, which customers notice.

Forwarding is useful for extra addresses that only receive, such as an old domain you still own or a 'privacy@' contact that lands in an existing mailbox. It is not a replacement for a business mailbox.

The Gmail 'Send as' workaround ends in January 2027

A popular free set-up has been: forward your domain's mail to a personal Gmail, then add your business address under Gmail's 'Send mail as' so replies appear to come from it.

Google's description covers 'work aliases or non-Gmail accounts', so assume a custom-domain address in a personal Gmail is included unless Google says otherwise. This set-up also tends to fail DMARC checks once your domain enforces a strict policy, because the mail is not sent by a server your domain authorises.

Why free email bites later

Free options work while the business is one person. These are the problems that appear as it grows.

  • Deliverability: sending through a personal account or a hosting server with no DKIM makes it harder to pass SPF, DKIM and DMARC, so invoices and quotes land in spam.
  • Ownership: when an employee's business email sits in their personal Gmail, the business cannot take it back when they leave.
  • Security: free plans rarely offer admin-enforced MFA, audit logs or retention settings, which matter for PDPA and for recovering a hacked account.
  • Support: when mail stops arriving, there is nobody to call.
  • Migration: moving years of mail, contacts and calendars to a new provider later takes time, and someone has to do it properly.

Moving five mailboxes is a small project, but it is still a project: DNS changes, copying mail, reconnecting phones and laptops. Paying from S$1.33 per user a month from day one avoids most of it.

How to choose: free now or cheap paid plan

  1. Count the people who need their own address

One person who uses a phone app: free can work. More than two people, or plans to hire: start on a paid plan.

  2. Decide which app people will use

If anyone needs Outlook or the phone's built-in Mail app, Zoho's free plan is out. Look at Zoho Mail Lite, Google Workspace or Microsoft 365.

  3. Check what else you need

Shared calendars, shared drives and office apps point to Google Workspace or Microsoft 365 rather than an email-only plan.

  4. Set up DNS properly whatever you pick

Add MX, SPF, DKIM and DMARC records. Our business email set-up guide walks through it.

  5. Keep the account in the business's name

Use an admin login the business controls, with MFA, so the email stays with the company if staff change.

Do it yourself or get help?

Setting up Zoho's free plan or Cloudflare forwarding is a do-it-yourself job if you are comfortable editing DNS records. Getting SPF, DKIM and DMARC right for a paid mailbox is where most self-setups go wrong.

Our Business Email Setup (S$249, up to 5 mailboxes) sets up Microsoft 365, Google Workspace or Zoho on an account in your name, with SPF, DKIM and DMARC. If you only need your domain records sorted, Domain & DNS Setup (S$99) covers that.

Frequently asked questions

Yes. Zoho Mail Forever Free hosts email for one domain for up to five users with 5 GB each, in select Zoho data centres. It does not include IMAP, POP or ActiveSync, so you use Zoho's own apps. Cloudflare Email Routing is also free but only forwards incoming mail to another inbox.

Not on its own. It forwards mail sent to your domain addresses to an inbox you already have, such as Gmail. It does not give you a mailbox to send from, so replies come from your personal address unless you add another service. It is best for receive-only addresses or old domains.

Google says that starting January 2027, Gmail on the web and mobile apps will no longer support sending from third-party email accounts. Gmail-to-Gmail aliases and Google Workspace Send as are not affected. If your business address is added to a free personal Gmail, plan to move it to a proper business mailbox before then.

As of October 2026, Zoho Mail Lite starts at S$1.33 per user a month on an annual plan, before GST, and it supports Outlook and phone mail apps. Google Workspace Business Starter starts at S$9.40 per user a month, and Microsoft 365 Business Basic at US$7, both with office apps included.

It can work for one or two people, but hosting mailboxes are usually small, spam filtering is basic and your email stops if the hosting account lapses or moves. Admin controls such as enforced MFA are often missing. Most growing businesses move to Microsoft 365, Google Workspace or Zoho for reliability and security.
