Microsoft charges about 20% more if you pay month to month instead of committing for a year; Google advertises a saving of up to 16% for a one-year commitment. Both run frequent first-months discounts, so look at the price after the promotion ends.

The gap is real, but so are the differences. The cheaper plans give you email only, or office apps your team may not be used to. If staff already live in Word and Excel, Microsoft is usually the better value; if you share files and calendars with clients on Google, Google saves friction. Our Microsoft 365 vs Google Workspace comparison and Zoho Mail vs Google Workspace guide go into the features.

Free and cheap options, and their limits

You can run email on your domain for very little, but each low-cost route has a catch.

  • Zoho Mail Forever Free covers up to five users on one domain with 5 GB each, but Zoho's page states that IMAP, POP and ActiveSync are not included, so Outlook and the iPhone Mail app won't sync. You work in Zoho's own apps.
  • Email bundled with web hosting (cPanel-style mailboxes) looks free, but mailboxes are usually small, spam filtering is basic, and if the hosting account lapses your email goes with it. Our web hosting cost guide explains what hosts include.
  • A Gmail or Outlook.com address costs nothing, but looks less professional and the account belongs to a person, not the business. When that person leaves, so does the mailbox.

Whatever you pick, set it up on an account owned by the company, with at least two admins and MFA on, so you don't lose control of your email when a staff member or vendor leaves. Our guide to setting up business email in Singapore walks through the steps, and Microsoft 365 Business Premium: is it worth it? covers the security case for the top plan.

Signing up takes minutes. Most of the work is verifying the domain, adding DNS records (MX, SPF, DKIM, DMARC), creating users and shared mailboxes, and moving old email. A confident admin can do it in an afternoon for a small team.

If you would rather have it done once and done properly, our Business Email Setup (S$249, up to 5 mailboxes) sets up Microsoft 365 or Google Workspace on an account in your name with SPF, DKIM and DMARC. Email Migration (S$390, up to 5 mailboxes) moves existing mail, folders and contacts from your old host. You pay Microsoft, Google or Zoho directly for licences; we don't resell them.

Frequently asked questions

As of October 2026, before GST: Zoho Mail Lite from S$1.33 per user a month on an annual plan, Google Workspace Business Starter S$9.40 per user a month on the flexible plan, and Microsoft 365 Business Basic US$7 per user a month on an annual plan. Add your domain renewal and any security or backup add-ons.

Among the major providers, Zoho Mail Lite is the cheapest paid option at S$1.33 per user a month on an annual plan, and it works with Outlook and phone mail apps. Zoho's free plan costs nothing for up to five users but does not support IMAP, POP or ActiveSync.

Not in Microsoft 365. A shared mailbox under 50 GB needs no licence, and colleagues with their own licences can read and send from it. In Google Workspace, a common approach is a Google Group or collaborative inbox, or an alias on an existing user, rather than a separate paid user.

Yes. The prices on their pricing pages exclude tax, and Singapore GST, currently 9%, is added to your bill. If your business is GST-registered, check with your accountant how the tax should be treated in your returns.

It can work for a very small business, but hosting mailboxes are usually small, with basic spam filtering, and your email depends on the hosting account staying paid. Many businesses move to Microsoft 365, Google Workspace or Zoho for reliability, security settings and easier staff changes.
