Buying Laptops for a Small Business in Singapore: What to Specify

A business laptop is not just a faster personal laptop. The edition of Windows, how the shop registers the device and the warranty terms decide whether you can encrypt it, manage it remotely and get it fixed without losing a week. This guide lists what to write on the order, line by line, so the laptops you buy this year still work well in 2030. It covers Windows and Mac, and it avoids model or price picks because those change every month. Use it with your reseller's quote in hand.

Short answer

Order Windows 11 Pro (not Home), at least 16 GB RAM and a 512 GB SSD for a 4-5 year life, ask the reseller to register the laptops for Windows Autopilot (or Apple Business for Macs), and pay for onsite or next-business-day warranty for the full time you plan to keep them.

Windows 11 Pro vs Home for business laptops

Most consumer laptops in Singapore shops ship with Windows 11 Home. For a business that is the most expensive mistake on the list, because Home blocks the tools you need to secure and manage the machine.

Microsoft's Intune enrolment troubleshooting page says joining Entra ID and enrolling in Intune is only supported on Pro and higher, and the fix is to upgrade. The Autopilot requirements list only Pro, Pro Education and Pro for Workstations among Windows 11 editions. A Home-to-Pro upgrade later costs money and an afternoon per machine, so specify Pro on the purchase order.

RAM, SSD and processor: what lasts 4-5 years

The Windows 11 minimum is a 1 GHz dual-core 64-bit processor, 4 GB of RAM, 64 GB of storage and TPM 2.0. That runs Windows, not a working day of Teams, Chrome tabs, Excel and a PDF tool. Microsoft's own bar for Copilot+ PCs is 16 GB of RAM, a 256 GB SSD and an NPU of 40+ TOPS.

PartOur minimum for office staffWhy
RAM16 GB (32 GB for design, video, large Excel)Most thin laptops have RAM soldered on, so you can't add more later
SSD512 GBWindows updates, OneDrive or Drive cache and Teams recordings fill 256 GB within a couple of years
ProcessorA current-generation mid-range chip from Intel, AMD or QualcommCheck the business apps you rely on support Arm before buying Snapdragon
Security chipTPM 2.0 enabledNeeded for Windows 11, BitLocker and Windows Hello
Screen and ports14-inch Full HD or better, USB-C chargingOne charger type across the office
Our recommendation for a 4-5 year life, not a Microsoft requirement.

If someone uses specialist software (accounting, CAD, a clinic or dental system), get the vendor's current hardware requirements in writing before you order. Some still list Windows-only or Intel-only support, which rules out Arm laptops and Macs.

Ask the reseller to register laptops for Windows Autopilot

Windows Autopilot lets a new laptop set itself up from the box: the user signs in with their work account, and Intune installs your apps, encryption and security settings. Microsoft's registration overview says the device's hardware hash is ideally uploaded by the OEM, reseller or distributor you bought from, on your behalf.

  1. Choose a reseller that does Autopilot registration

Ask before you buy, not after delivery. Business resellers and the business stores of the big brands often do it; retail shops usually don't.

  2. Give them your tenant details

The reseller asks for authorisation through Microsoft Partner Center so it can register devices into your Microsoft 365 tenant.

  3. Confirm the device list

Ask for serial numbers and confirmation that each laptop appears under Devices in the Intune admin centre before delivery.

  4. Set up the Autopilot profile

In Intune, create the deployment profile, encryption, update and antivirus policies, then assign them to the new devices.

  5. Hand over sealed boxes

Staff unbox, connect to Wi-Fi and sign in. The laptop arrives at their desk already encrypted and managed.

Intune is included in Microsoft 365 Business Premium. If you are on Business Standard, check licensing before ordering; our Windows 10 end of support guide covers the upgrade path for older machines you are replacing.

Buying Macs: Apple Business and authorised resellers

Apple merged Apple Business Manager, Apple Business Essentials and Apple Business Connect into one service called Apple Business on 14 April 2026. Apple's announcement says it is free in more than 200 countries and regions and includes built-in device management with Blueprints for preconfigured settings and apps.

The catch is the same as Autopilot: Apple says zero-touch deployment only works when devices are bought through Apple or an Apple Authorised Reseller that links them to your Apple Business account. A MacBook bought from a marketplace seller won't appear in your account automatically.

  • Sign up for Apple Business first and note your organisation ID; give it to the reseller with every order.
  • Decide whether Apple's built-in management is enough or you'll connect Intune or another MDM.
  • Plan FileVault encryption and where the recovery keys are stored.
  • Check your business apps run on Apple silicon Macs before choosing Mac for a role.

Warranty, delivery and the purchase order checklist

Consumer laptops usually come with carry-in warranty: you take the laptop to a service centre and wait. For a small team, losing one laptop for a week can stop invoicing or payroll. Business models from the major brands are usually sold with onsite or next-business-day options that you can extend to three, four or five years at the time of purchase.

Read the terms rather than the headline. Check whether accidental damage is covered, whether the battery is covered after the first year, whether a failed SSD can be kept (so client data doesn't leave with the technician), and whether the service applies across Singapore or only in certain areas.

What to write on the purchase order

Add every new laptop to your IT asset register on delivery: serial, user, warranty end date and encryption status. That list is also what you need for CSA Cyber Essentials.

Do it yourself or get help?

Specifying the order is a 30-minute job with this page. Setting up Intune or Apple Business, encryption with recovery keys in your tenant, and update and antivirus policies is where most small offices need a hand, because a mistake means laptops reach staff unmanaged.

Our Device Encryption & Management package (S$490) sets up Intune or Google endpoint management, enrols up to 10 devices with BitLocker or FileVault and tests remote wipe. Our Antivirus & Endpoint Protection Rollout (S$390) puts business-grade protection on each laptop. We don't sell hardware, so the specification advice above is not tied to a brand.

Frequently asked questions

Not if you want to manage it. Microsoft says joining Entra ID and enrolling in Intune is only supported on Pro and higher, and Autopilot fails on Home. Home also ties the encryption recovery key to whichever Microsoft account signs in. Buy Pro from the start; upgrading later costs a licence and time per machine.

Windows 11 runs on 4 GB, but that is a minimum, not a working setup. For office staff using Teams, a browser and Excel, buy 16 GB, which is also Microsoft's minimum for Copilot+ PCs. Choose 32 GB for design, video or very large spreadsheets. Most thin laptops can't be upgraded later because the RAM is soldered.

Autopilot is Microsoft's way of setting up a new laptop from the box: the user signs in with a work account and Intune applies your apps and security settings. It needs Windows Pro or higher and an Intune licence. If you buy several laptops a year, it saves hours and ensures nobody starts work on an unencrypted machine.

No. Apple replaced Apple Business Manager, Apple Business Essentials and Apple Business Connect with Apple Business on 14 April 2026. It is free and includes built-in device management. Existing accounts moved across. For zero-touch set-up, buy Macs through Apple or an Apple Authorised Reseller that links them to your account.

For most small businesses, yes. Carry-in warranty can leave someone without a laptop for days. Onsite or next-business-day cover for the full 4-5 years you plan to keep the machine usually costs less than the lost time. Check what is excluded, especially accidental damage, batteries and whether you can keep a failed drive.
