Short answer
Check your software first: if your accounting, payroll, clinic or industry system needs Windows, buy Windows PCs. If everything runs in a browser or has a Mac app, either works. Both can be managed from Microsoft Intune, and Apple devices can also be enrolled through Apple Business for zero-touch set-up.
Quick answer: Mac or Windows for your office
Neither platform is better for every business. What usually decides it is software compatibility, then staff familiarity, then cost.
Windows PCs
Safest default- Runs almost all accounting, payroll and industry software
- Wide choice of price points and brands
- Windows Autopilot and Intune for zero-touch set-up
- Quality varies a lot between cheap and business models
Best for: Offices with any Windows-only software, or tight hardware budgets.
Macs
- Fewer models, consistent quality
- FileVault encryption and strong defaults built in
- Managed with Intune or other Apple MDM tools
- Some industry and legacy apps will not run natively
Best for: Design, marketing and browser-based teams whose apps all run on macOS.
Mixed office
- Staff use what suits their role
- Needs one management tool for both
- Shared files must live in the cloud, not on one PC
- Two sets of set-up steps and support knowledge
Best for: Businesses with a design team inside a Windows-based office.
App compatibility: check this before anything else
Most small business software is now in the browser: Xero, QuickBooks Online, Shopify, HubSpot, Google Workspace and the web versions of Microsoft 365 work the same on both. The risk is the one desktop program the business cannot do without.
| Software type | Mac | Windows |
|---|---|---|
| Cloud accounting (Xero, QuickBooks Online) | Works in the browser | Works in the browser |
| Microsoft Word, Excel, PowerPoint, Outlook, Teams | Mac apps available | Full desktop apps |
| Microsoft Access databases | No Mac version | Supported |
| Older desktop accounting, POS or payroll programs | Often Windows only | Usually supported |
| Clinic, logistics and engineering systems | Check with the vendor | Usually supported |
| Adobe Creative Cloud, Figma, Canva | Supported | Supported |
| Bank tokens, card readers, label printers | Check drivers | Usually supported |
Microsoft Publisher reached its end of life in October 2026 and is no longer included in Microsoft 365, so it is no longer a reason to stay on Windows. If you have one Windows-only app and want Macs anyway, Microsoft lists Windows 365 Cloud PCs and Parallels Desktop as supported ways to run Windows 11 on Apple silicon Macs. Both add cost and an extra layer to support.
Device management: Intune, Apple Business and what you need
Once you have more than a handful of devices, you want them managed: encryption on, updates enforced, apps installed automatically and lost laptops wiped remotely. Microsoft Intune supports Windows, macOS, iOS/iPadOS, Android, Linux and ChromeOS, so one console can cover a mixed office. Intune is included in Microsoft 365 Business Premium, listed at US$22 per user per month on annual billing (excluding GST) as of October 2026.
On the Apple side, Apple Business Manager is now Apple Business, combining the old Business Manager, Business Essentials and Business Connect. It is where company-owned Apple devices are registered so they enrol into your management tool automatically on first start-up, a process Apple calls Automated Device Enrolment. Buy Macs through Apple or an authorised reseller that can link them to your Apple Business account.
Security on Mac vs Windows
Both platforms are secure enough for a small business if they are kept up to date, encrypted and protected by MFA on the accounts that matter. Macs are not immune to malware, and Windows is not unsafe by default. The real risks are the same on both: phishing emails, reused passwords, missed updates and unencrypted laptops left in a taxi.
- Encryption: FileVault on Mac and BitLocker on Windows 11 Pro. Store the recovery keys in your management tool, not on a sticky note.
- Updates: enforce automatic operating system and browser updates through Intune or your Mac management tool.
- Antivirus: Microsoft Defender is built into Windows; Microsoft Defender for Business, included in Business Premium, also covers macOS.
- Accounts: staff should use standard (non-admin) accounts day to day on both.
- Windows edition: buy Windows 11 Pro, not Home, for business machines. Pro adds BitLocker and the management features small businesses need.
Cost, lifespan and resale
Macs have a higher starting price. As of October 2026, Apple's Singapore store lists the MacBook Neo from S$999 and the 13-inch MacBook Air from S$1,899. Windows laptops span a much wider range. Compare like with like: a business-grade model with Windows 11 Pro, 16GB of memory and a good SSD, not the cheapest consumer laptop on the shelf.
Lifespan depends more on how much memory and storage you buy than on the brand. Buy at least 16GB of memory for office work, since you cannot add more to most modern laptops later. Used Macs have an active resale market, which can offset part of the price when you replace them. Factor in software too: if you would need Windows 365 or Parallels on every Mac to run one program, that monthly cost usually tips the decision back to Windows.

Running a mixed Mac and Windows office
Plenty of small offices run both. It works when the things people share are not tied to one machine.
Mixed office checklist
Microsoft 365 and Google Workspace both work well on Mac and Windows. If you have not picked one yet, see our Microsoft 365 vs Google Workspace comparison.
Do it yourself or get help?
Choosing the platform is a decision you can make yourself with the app checklist above: list every program, ask each vendor about macOS support, and decide. Setting up management properly is where help pays off, because mistakes there only show up when a laptop is lost or someone leaves.
Our Device Encryption & Management package (S$490) sets up Microsoft Intune or Google endpoint management for up to 10 Windows, Mac, iPhone and Android devices, with disk encryption, recovery keys stored in your account, update rules and a tested remote wipe.
Frequently asked questions
Yes, if all the software you need runs on macOS or in a browser. Many small businesses run entirely on cloud tools such as Xero, Shopify and Microsoft 365 or Google Workspace, which work the same on a Mac. The main reason not to choose Macs is a Windows-only accounting, payroll or industry program.
Yes. Microsoft Intune supports macOS alongside Windows, iPhone, iPad and Android, so a mixed office can use one console. For company-owned Macs, register them in Apple Business so they enrol into Intune automatically when first switched on. Intune is included in Microsoft 365 Business Premium.
Sometimes. Microsoft lists Windows 365 Cloud PCs and Parallels Desktop as supported options for running Windows 11 on Apple silicon Macs. Both add a monthly or yearly cost and another system to support, and some hardware-linked software may still not work. Test the exact program before buying Macs for the whole office.
Buy Windows 11 Pro. It includes BitLocker encryption and the business management features needed to join devices to Microsoft Entra ID and manage them with Intune. Home edition laptops are cheaper but harder to secure and manage centrally, and upgrading them later costs extra.
A little. You need set-up steps, drivers and know-how for two platforms. It stays manageable if files live in the cloud, everyone uses the same email and collaboration tools, and one management tool such as Intune enrols both Macs and PCs. Problems start when important files sit on one person's computer.
